About the role

Reporting to the relevant Executive leader, you will provide professional, discreet and proactive administrative support across Executive, Board, governance and corporate services activities.

You will be a trusted point of coordination for the CEO and Executive team, ensuring priorities are well managed, information is accurate and meetings, reporting and corporate activities run smoothly.

Key responsibilities will include:

- Managing the CEO's diary, appointments, meetings and competing priorities.
- Monitoring and triaging the CEO's inbox, identifying urgent matters and ensuring appropriate follow-up.
- Preparing high-quality correspondence, briefing papers, presentations, reports and other executive documentation.
- Supporting the preparation and administration of Board and Committee meetings, including papers, meeting packs, governance calendars, action registers and records.
- Proofreading, formatting, quality-checking and securely distributing Board and Committee papers.
- Maintaining Board, Committee and corporate records, registers and governance documentation.
- Coordinating the preparation and submission of the Mercy Partners Quarterly Report and other governance reporting.
- Coordinating Executive and Senior Leadership Team meetings, including agendas, papers, logistics and minutes where required.
- Coordinating business-wide travel arrangements, including bookings, itineraries and changes or cancellations.
- Supporting corporate credit card reconciliations, expenditure approvals, purchase orders and requisitions within delegated authority.
- Maintaining organisational charts, corporate records and key reference documents, including publication to SharePoint.
- Supporting Executive recruitment, onboarding, employment changes and cessations.
- Coordinating corporate reception, shared mailboxes,



office supplies and general corporate office requirements.
- Liaising with internal support functions regarding facilities, WHS, access, meeting rooms and workplace requirements.
- Supporting corporate and mission-related events, including Mercy Day, Board and Executive functions.
- Providing guidance and support to other Executive Assistants and administration team members as required.

About you

You will be an experienced and highly organised Executive Assistant or senior administration professional who is comfortable operating at a senior level and managing sensitive information with discretion.

You will bring:

- Demonstrated experience providing high level executive support, ideally within a complex organisation.
- Strong organisational and time-management skills, with the ability to manage multiple priorities and deadlines.
- Excellent written communication and proofreading skills, with exceptional attention to detail.
- Experience supporting Board, Committee or governance processes would be highly regarded.
- Strong stakeholder management skills and confidence dealing with CEOs, Executives, Board members and external stakeholders.
- The ability to anticipate needs, identify priorities and work proactively with minimal supervision.
- Strong digital literacy and experience with Microsoft Office and document management/SharePoint environments.




- A high level of discretion and demonstrated ability to manage confidential and sensitive information.
- A professional, calm and solutions-focused approach, particularly when working under pressure.
- A willingness to contribute positively to a values-based, collaborative organisational culture.
