Role & Responsibilities
Governance & Meeting Secretariat:Manage the end-to-end lifecycle of program board meetings, including developing agendas, quality assuring complex papers, collating meeting packs, and maintaining the Forward Work Plan.
Minutes & Action Tracking:Accurately record official minutes, key decisions, and strategic action items, managing the distribution and endorsement process with senior board members.
Risk & Reporting Management:Contribute to comprehensive program reporting, manage conflicts of interest registers, and proactively identify and escalation program risks to the Program Manager.
Stakeholder Collaboration:Build and maintain effective working relationships across the program branch and with broader departmental stakeholders to ensure seamless operational delivery.
Program Uplift & Frameworks:Partner with the Program Manager to establish terms of reference, define operating procedures, provide guidance on program management methodology, and support capability uplift for new staff.
Skills & Experience
To be successful in this position, you will ideally bring:
Technical Toolkit:High proficiency in the Microsoft Office suite alongside practical familiarity with modern project management tools and methodologies.
Experience:A minimum of 3 years of dedicated experience in program administration, secretariat functions, or project coordination, ideally within a complex public sector or Federal Government context.
Core Capabilities:Exceptional written and verbal communication skills with a proven ability to present information clearly and concisely.
You are detail-oriented, results-driven, and remain calm under pressure while managing competing priorities.
Desirable:Relevant tertiary qualifications in a related discipline are highly regarded.
Eligibility & Clearance Requirements
Security Clearance:Due to the nature of this environment, candidatesmust hold a current Baseline security clearanceor, at minimum, be an Australian Citizen with the immediate ability to obtain one.
