Job Description
You will work closely with our Facilities team, contractors and compliance officer.
Supporting the day-to-day administration of maintenance and facilities activities across multiple work sites.
About the Role
Your responsibilities will include:
Assisting with SimPRO scheduling and work orders
Communicating with contractors regarding scheduled works and job requirements
Assisting with the administration of maintenance requests across multiple sites
Processing, checking and accurately distributing invoices
Amending and correcting invoices where required
Following up contractors for outstanding information, documentation or completed works
Uploading and maintaining contractor compliance documentation in Operandio
Maintaining accurate records and ensuring information is entered correctly into all relevant systems
Assisting the Facilities team with general administration and data entry
Responding to emails/calls
Communicating professionally with stores, contractors and internal team members
Providing general administrative support to the Facilities Management team, You will receive training in the systems we use, including:

About the Candidate
Highly organised and extremely detail-oriented
Confident using computers and able to learn new software
Proficient in Microsoft Office Suite, including Outlook, Word and Excel
Comfortable working with emails, documents, spreadsheets and online systems
A clear and professional communicator who understands appropriate workplace communication standards
Reliable, punctual and willing to learn
Able to follow processes and instructions accurately
Comfortable asking questions when they are unsure
Able to manage multiple tasks and stay organised
Professional and confident
Someone who takes pride in getting the details right
Previous facilities or administration experience is not required.
Full on-the-job training will be provided to the successful candidate.
However, you must have a robust level of computer literacy, a willingness to learn new systems and a good understanding of professional email and workplace communication standards.
The Systems, This position would suit a recent high school graduate who is tech-savvy, organised, reliable and eager to learn.
You don't need years of experience - we are looking for the right attitude, attention to detail and willingness to learn.
