Receptionist - Medical and Allied Health Practice

Your Brain in Mind is a multidisciplinary private specialist clinic located at Westside Private Hospital. We are seeking an experienced and professional Medical Receptionist to join our growing team.

This is a busy and rewarding role suited to someone who is organised, proactive, detail-oriented, and enjoys providing exceptional customer service in a specialist medical environment. You will work alongside psychiatrists, psychologists, neurologists, and neuropsychologists while helping deliver a high standard of care to our patients.

The position will initially 3 days per week. As our clinic continues to grow, there will be the chance for the role to increase to 5 days per week for the right candidate. The position is available on a part-time or casual basis. Flexibility is important, including the ability to adjust workdays when required and provide short-notice cover for annual or sick leave.

What you will be doing

- Welcome patients in a friendly, professional, and compassionate manner.
- Manage appointments, scheduling, billing, and payment processing.
- Handle patient enquiries via phone, email, and in person.
- Prepare, maintain, and update accurate patient records and clinical documentation.
- Process Medicare, DVA, NDIS, WorkCover,



and other third-party billing where applicable.
- Support the day-to-day administrative operations of the clinic.
- Assist the management team with general administration and clinic coordination.
- Work closely with our clinicians to ensure a smooth and efficient patient experience.

What we are looking for

- Minimum 2 years experience as a Medical Receptionist.
- Excellent customer service and communication skills.
- Strong organisational skills with the ability to manage competing priorities in a fast-paced environment.
- High attention to detail and accuracy.
- Experience using Gentu and/or Zanda practice management software (preferred).
- Knowledge of Medicare, DVA, NDIS, Mental Health Care Plans, and third-party billing processes.
- A proactive, positive, and team-focused attitude.
- Reliability, professionalism, and a willingness to support the wider team.
- A genuine interest in building a long-term career within a growing specialist clinic.
