Health Clinics System and Administration Officer

- Employment Type: Full Time (35 hours per week)
- Duration: 9 Month Contract
- Remuneration: Level 6 $108,021 - $115,233 (depending on experience) + 17% super + leave loading

The Administrative Officer will play an important role in supporting the implementation and ongoing use of UNSW’s new Clinic Management Software across a diverse range of health clinics within the Randwick Health Precinct. Working as part of an established project team, you will help translate clinical and administrative requirements into practical workflows, procedures and user-friendly processes. You will support system testing, training and user adoption, while also coordinating the broader administration required for the effective operation of the clinics.

This is not a technical IT role. It is well suited to an experienced administrator who understands clinical or health-related environments and is confident working with systems, processes and a broad range of stakeholders.

Key Responsibilities

- Support the implementation and user adoption of the new Clinic Management Software
- Assist with user acceptance testing, training, process documentation and the resolution of system or process issues
- Develop and maintain clinical workflows, operational procedures, user records and smart forms
- Provide day‑to‑day administration of the clinics system, including user access, basic configuration and routine maintenance
- Coordinate administrative processes, reporting and procedures across UNSW Health Clinics and Precincts
- Identify and resolve routine to moderately complex issues, escalating risks or incidents where required
- Act as a key contact for internal and external stakeholders, responding to requests and managing urgent or sensitive matters
- Provide guidance and support to administrators and clinic staff as they adapt to current systems and processes
- Coordinate finance administration, including purchasing, billing, expenses, reimbursements and payment requests




- Provide secretariat support to committees and contribute to broader UNSW Precincts projects and initiatives

Who You Are

You are an organised and experienced administrator who enjoys improving processes, supporting users and helping teams adapt to new ways of working. You do not need technical expertise, but you will be confident learning new software, understanding clinical and administrative workflows, and providing practical support to stakeholders at all levels. Experience working within a university, clinic, health or public health environment is desirable and will help you quickly understand the context and requirements of the role.

You will bring

- Relevant qualifications and experience in administration, or an equivalent combination of education, training and experience
- Strong organisational and time management skills, with the ability to manage competing priorities and deadlines
- Experience supporting the implementation of new systems, processes or operational change
- Excellent written, verbal and interpersonal communication skills
- Strong customer service and stakeholder management capabilities
- Confidence using Microsoft Office and learning new software systems
- The ability to guide and support staff without direct supervisory responsibility
- Strong attention to detail, numeracy skills and the ability to understand and communicate financial information
