Office Manager and Executive Support - JN 1323

Our client is a purpose-driven organisation dedicated to fostering collaboration between pastoralists, government, industry and Indigenous communities across the Western Australian outback. Through innovative programs focused on biodiversity conservation, threatened species protection and sustainable land management, they play a significant role in managing natural resources across 85% of Western Australia.

The primary purpose of this role is to support the smooth day-to-day running of the organisation through high-level administration, executive support, office coordination, systems support, document control and process improvement.

Working closely with the Chief Executive Officer, leadership team and project teams, you will help ensure administration is accurate, Board and committee processes are well coordinated, internal workflows operate efficiently and the broader team is well supported.

The Opportunity

This position offers the opportunity to join a collaborative and values-driven organisation making a meaningful impact across regional and remote Western Australia. Working in a hands‑on, office‑based environment, you will play a key role supporting the CEO, coordinating administration and governance activities, improving systems and helping the organisation operate in a professional, organised and efficient way.

This role is primarily administration and executive support focused, with approximately 20% of the role supporting the CEO directly. There may also be some light marketing and communications coordination from time to time, however this is not a marketing‑led role.

The Tasks Ahead

- Provide high‑level administration and executive support to the Chief Executive Officer
- Support the CEO with diary management, meeting preparation, follow‑ups, correspondence and general coordination
- Coordinate Board and committee processes, including agendas, minutes, papers, actions and meeting documentation
- Manage calendars, meetings, agendas, minutes and internal coordination
- Support the preparation, tracking and signing of contracts and key documents
- Maintain registers, records, databases and internal documentation
- Assist with onboarding administration and compliance processes
- Prepare,



format and quality‑check reports, Board papers, presentations and executive correspondence
- Support governance, policy, records management, document control and compliance practices
- Provide proactive support to leadership and the broader team
- Assist with improvements across Microsoft Teams, Xero, Adobe Sign and related systems is advantageous
- Maintain robust data integrity across systems and documentation
- Identify duplicate records, outdated information, process gaps and opportunities for improvement
- Support internal communication and ensure actions are followed through
- Assist with light marketing and communications coordination where required

Requirements

About You

You are an organised, proactive and detail‑oriented administration professional who enjoys keeping operations running smoothly behind the scenes.

You may have worked as an Office Manager, Executive Assistant, Senior Administrator, Business Support Officer, Administration Coordinator or similar.

You are comfortable supporting senior leaders, managing competing priorities, coordinating meetings and documentation, and keeping systems, records and processes up to date.

You do not need to be a marketing specialist. What matters most is your administration capability, your ability to support the CEO and leadership team, and your willingness to assist with basic marketing and communications coordination when required.

Key Requirements

- Proven experience in a senior administration, office management, executive support or business support role
- Experience supporting a CEO, senior executive, Board, committee or leadership team will be highly regarded
- Strong knowledge of Microsoft Office 365 applications, including SharePoint and Teams
- Exceptional organisational and time management skills
- Excellent verbal and written communication abilities




- Ability to prepare, format and quality‑check reports, Board papers, presentations and executive correspondence
- Sound understanding of governance, policy, records management, document control and compliance practices
- Experience using Xero, MYOB or similar software and supporting basic accounts administration functions is advantageous (but not essential)
- Strong attention to detail and ability to maintain accurate records, registers and documentation
- Confidence using systems and technology to improve workflow, communication and document management
- Ability to manage competing priorities in a busy office‑based environment
- A proactive, practical and solutions‑focused approach
- Experience supporting light marketing, communications, newsletters, website updates or social media coordination will be advantageous, but is not essential
- Experience within natural resource management, environmental or not‑for‑profit sectors will be advantageous

Compensation & Benefits

- Salary package of $90,000 - $105,000 plus superannuation dependent on experience
