Wilhelmsen Port Services (Australia) Pty Ltd is looking for a reliable and proactive individual to join our Ship Agency Operations team based in PortHedland. This role offers a unique opportunity to work in a fast‑paced and diverse environment, managing vessel operations while engaging with stakeholders from diverse cultural and demographic backgrounds. The position is primarily office‑based, involving the management of a high volume of e‑mail. Strong computer skills, exceptional e‑mail etiquette and excellent customer service are essential. The role also requires occasional travel outside the office, including boarding vessels and navigating steep gangways; applicants must be comfortable with heights.

Responsibilities

- Vessel Operations Coordination & Planning – Coordinate vessel operations, from planning arrivals to berthing, loading, and departures in collaboration with all Port stakeholders. Accurately input and maintain data to support operational processes.
- Email and Systems Administration – Efficiently handle a high volume of e‑mail while working across multiple computer systems (SEDNA, Excel, Teams, WASP, ESS (ICE), IC…).
- Teamwork – Collaborate within a supportive environment.
- Multicultural & Demographic Interaction – Engage with international crews and stakeholders, demonstrating strong cross‑cultural communication skills.
- Information Handling & Incident Reporting – Manage confidential and sensitive data with professionalism,



opening clear communication channels to resolve issues promptly.
- Vessel Boarding – Board vessels to assist with operations and ensure smooth communication.
- Rotating Roster – Work on a rotating shift pattern to accommodate operational requirements, offering variety and some flexibility.

Qualifications & Experience

- Highly motivated, self‑driven, and able to thrive in a dynamic environment.
- Computer literate with excellent technical skills and the ability to navigate various software tools.
- Capable of working independently, managing time effectively, and maintaining high organisational standards under pressure.
- Proactive with a strong initiative to improve processes and solve problems without waiting for instructions.
- Constructively accepts feedback and uses it to grow and refine skills.
