Events & Group Travel Consultant – Sydney, Australia (Hybrid)
About The Role
Spencer Corporate Travel is seeking an experienced and customer‑focused Events & Group Travel Consultant to join our growing team in Sydney. This is a hands‑on role responsible for managing the delivery of corporate meetings, conferences, events, group travel programs and incentive experiences. Working closely with clients, suppliers and internal stakeholders, you will oversee event logistics, travel coordination, delegate management and supplier relationships to ensure every program is delivered seamlessly and exceeds client expectations. This position is ideal for someone with a strong background in corporate travel, group travel or meetings and events who enjoys managing multiple projects and delivering exceptional client service.
Key Responsibilities
Events & Meetings Management
- Manage the planning and delivery of corporate meetings, conferences and events from briefing through to completion.
- Coordinate delegate registrations, communications and attendee logistics.
- Develop and maintain project plans, timelines and event documentation.
- Manage venue sourcing, supplier liaison and contract administration.
- Provide onsite event management and support where required.
- Ensure events are delivered on time, within budget and to client expectations.
Group Travel Management
- Manage all aspects of group travel arrangements, including flights, accommodation, transfers and ancillary travel services.
- Oversee rooming lists, traveller information, ticketing deadlines and travel documentation.
- Coordinate travel changes and resolve disruptions efficiently.
- Liaise with airlines, hotels, transport providers and travel suppliers.
- Ensure travel arrangements comply with client policies and supplier agreements.
Incentive Travel Programs
- Support the planning and delivery of domestic and international incentive travel programs.
- Coordinate participant travel, accommodation and program logistics.
- Manage supplier relationships including DMCs, hotels and activity providers.
- Assist with program budgeting, reporting and reconciliation.
Client & Supplier Relationship Management
- Act as a key point of contact for clients throughout the planning and delivery process.
- Build and maintain strong relationships with clients, suppliers and industry partners.
- Provide proactive recommendations and solutions to support client objectives.
- Prepare proposals, costings and statements of work.
- Conduct post‑event and post‑program reviews.
Financial & Administration
- Manage project budgets and financial tracking.
- Monitor deposits, supplier payments and reconciliation processes.
- Ensure accurate record keeping and reporting.
- Maintain data integrity across travel and event management systems.
About You
- Experience in corporate travel, group travel, meetings, events or conference management.
- Strong knowledge of travel logistics including flights, accommodation, transfers and traveller management.
- Excellent organisational and project management skills.
- Strong stakeholder and client relationship management capabilities.
- Exceptional attention to detail and ability to manage multiple projects simultaneously.
- A proactive, solutions‑focused approach.
- Outstanding written and verbal communication skills.
- Experience with Microsoft setting, specifically Excel.
Highly Regarded
- Experience within a Corporate Travel Management Company (TMC) or Meetings & Events environment.
- Experience managing group travel programs.
- Experience delivering conferences, meetings or incentive travel programs.
- Knowledge of Sabre, Tramada, EventsAir, Cvent or similar platforms.
- Experience negotiating with airlines, hotels and event suppliers.
