Based in Subiaco, we are seeking an Operations Administrator and Manager who will oversee facilities, rostering, stock control, and day-to-day operational functions to support a well-run and efficient business.
The ideal candidate will be a strategic and organised leader with experience in facilities oversight, workforce coordination, and operational management within a healthcare setting.
Key Responsibilities
- Manage all aspects of facilities operations, including maintenance coordination, contractor management, safety checks, and ensuring the premises remain compliant, functional, and patient-ready at all times.
- Oversee roster development and daily workforce allocation, ensuring adequate coverage, timely adjustments, and productive utilisation of staff resources.
- Lead stock management processes, including ordering, receiving, storing, and auditing consumables, equipment, and supplies to maintain accurate inventory levels and prevent stockouts.
- Handle day-to-day operational issues promptly to maintain a high standard of service delivery and operational continuity.
- Recruit, train, and oversee administrative staff, ensuring consistent adherence to organisational policies and service standards.
- Ensure compliance with relevant regulations, workplace safety requirements, and internal governance frameworks.
- Implement and monitor quality assurance processes that uphold operational efficiency and service excellence.
- Identify operational risks, develop mitigation strategies, and promote a culture of accountability and continuous improvement.
- Manage enquiries, client feedback, and service requests professionally,
strengthening stakeholder relationships.
- Oversee data and documentation processes, ensuring accuracy, confidentiality, and compliance with privacy obligations.
- Support growth initiatives by identifying operational improvements, contributing to service expansion plans, and enhancing internal processes.
- Coordinate marketing support tasks, ensuring promotional activities align with business priorities.
- Act as a central point of communication between the organisation, contractors, suppliers, and regulatory stakeholders.
- Organise internal meetings, prepare reports, and facilitate effective communication between teams.
