We are an award-winning South Australian construction business with more than 31 years of experience delivering quality homes and thriving communities. Renowned for our expertise across medium-density developments, we have built a strong reputation for innovation, quality, winning many awards.
We are seeking an experienced, commercially minded Executive Assistant to work closely with our Founder & Managing Director and CEO. This is a senior, trusted role for someone who can create order around fast-moving priorities, prepare leaders for important decisions, maintain absolute discretion and make sure commitments are followed through.
What success looks like
- Leadership time is protected and directed toward the highest-value priorities.
- The MD and CEO are consistently prepared for meetings, decisions and commitments.
- Calendars, inboxes, travel, papers and actions are accurate, current and professionally managed.
- Board and Executive meetings run with disciplined agendas, pre-reads, decisions, minutes and action follow-up.
- Important commitments do not get lost: owners, due dates and escalations are visible and followed through.
- Information is easy to retrieve, confidential material is handled appropriately, and communication is professional.
- Al, automation and digital tools are used safely to remove administration and improve executive productivity.
A day will see you
- Strategically manage the Founder & Managing Director and CEO calendars, inboxes and priorities; resolve clashes, protect focus time and challenge low-value commitments where appropriate.
- Prepare concise daily and weekly priority briefs, decision lists, meeting papers and reminders so the MD and CEO know what requires attention and by when.
- Coordinate Board, Advisory Board, Executive and key project meetings including agendas, briefing packs, pre-reads, minutes, decision records and action registers.
- Follow up senior managers on agreed actions, owners and due dates; escalated overdue or unresolved items appropriately.
- Coordinate domestic and international travel, itineraries, bookings, documentation, meeting schedules and contingency arrangements.
- Manage confidential correspondence, sensitive business information and reasonable personal administration with complete discretion.
- Coordinate expenses, invoices, reconciliations, contacts, filing and information retrieval with a high level of accuracy.
- Act as a professional liaison for executives, advisers, partners, consultants, suppliers and internal leaders.
- Use Microsoft 365, Teams, Apple tools, Al and automation to improve workflows, meeting preparation, action tracking and information management.
- Coordinate selected office services and leadership events without allowing office administration to dilute the core executive support mandate.
Is this you?
- At least 5 years' experience supporting a CEO, Managing Director, Founder,
Board Chair or comparable senior executive; property, building, construction, development, professional services or legal experience is highly regarded.
- Excellent judgement, discretion and confidentiality, including confidence handling commercially sensitive and personal matters.
- Highly organised, proactive and calm under pressure, with the ability to anticipate needs rather than wait for instructions.
- Confident enough to manage senior stakeholders, protect executive time, ask for clarity and follow up firmly but professionally.
- An excellent written communicator who can prepare polished correspondence, agendas, minutes, briefing notes and presentation packs.
- Advanced capability across Outlook, Word, Excel, PowerPoint, Teams and modern digital tools; practical interest in secure Al and workflow automation.
- Comfortable in a fast-moving environment where priorities can change, while maintaining accuracy and follow-through.
- Available to work primarily from our Bowden office Monday to Friday, with flexibility around executive requirements and travel.
- Naturally warm and engaging, with a genuine desire to support people and foster a positive team environment.
