Administration Assistant

About the Role

Our client is a boutique accounting firm with a loyal and long-standing client base, built on solid relationships and personalised service. They are seeking an experienced Administration Assistant to oversee the Corporate Secretarial and Client Services function, ensuring the smooth operation of the practice and delivery of exceptional client service.

This is a hands-on leadership role that combines client services, corporate compliance, workflow coordination, and team management. Working closely with the Directors and Accounting team, you will play a key role in maintaining service standards, supporting compliance obligations, and driving operational efficiencies across the practice.

Key Responsibilities

Client Services

- Oversee the preparation and distribution of financial statements, tax returns, engagement documents, and client correspondence.
- Manage client onboarding and offboarding processes.
- Monitor outstanding client approvals, signatures, and documentation.
- Maintain strong client relationships and act as a key point of contact for administrative enquiries.
- Ensure all client-facing documentation is accurate, compliant, and professionally presented.

Corporate Secretarial & Compliance

- Manage ASIC annual reviews, company registrations, company changes, and business name renewals.
- Maintain company registers and statutory records using CAS 360.
- Coordinate entity establishments, restructures, and deregistrations.
- Liaise with ASIC, the ATO, and other regulatory bodies as required.




- Monitor compliance deadlines and ensure all obligations are met.

Workflow & Practice Support

- Manage workflow and job setup within XPM and other practice management systems.
- Track job progress, compliance deadlines, and outstanding lodgements.
- Coordinate client meetings, internal meetings, and workflow reviews.
- Prepare workflow reports and support Directors with practice administration.
- Maintain accurate client records and document management systems.

Leadership & Operations

- Lead, mentor, and support the Client Services team.
- Allocate work and assist with workflow planning and prioritisation.
- Review and improve administrative processes and systems.
- Support billing, engagement management, and other practice operations.
- Promote a collaborative, client-focused culture across the business.

About You

- Previous experience in a Practice Manager, Administration Manager, Client Services, or Corporate Secretarial role within public practice.
- Strong knowledge of ASIC compliance and practice administration.
- Experience with CAS 360, XPM, and document management systems.
- Excellent communication, organisational, and stakeholder management skills.
- Strong attention to detail and ability to manage competing priorities.
- Proven leadership experience and a proactive, solutions-focused approach.
