BRAND OPERATIONS MANAGER
Gregory Hills, Sydney NSW | On-site | 4 days per week
SONYA MODA is looking for an exceptional Brand Operations Manager to join our growing team and work closely alongside our Founder.
This is a hands-on, fast-paced role for someone who is exceptionally organised, proactive and solutions-focused, someone who loves creating order, takes genuine ownership and gets things done.
Working closely alongside the Founder, you'll become a trusted operational partner, helping organise priorities, protect the Founder's time and take ownership of the day-to-day coordination and execution that keeps the business moving.
This is not a role for someone who waits for a task list.
You'll anticipate what needs to happen next, follow things through without being chased, proactively flag issues before they become problems and continually look for ways to make our systems and processes more organised, efficient and scalable.
No two days will necessarily look the same. You might be coordinating with our Australian and US wholesale sales teams in the morning, following up production with our factories, beautifully packing customer orders, organising samples, updating Shopify or coordinating an upcoming campaign shoot in the afternoon.
ABOUT THE ROLE
Brand & Business Operations
- Take ownership of day-to-day operational coordination across the business
- Work closely with the Founder to manage priorities, deadlines, follow-ups, inbox, calendar and workflow
- Maintain transparent visibility across production, wholesale, inventory, deliveries and key deadlines
- Proactively identify issues, inefficiencies and opportunities to improve processes
- Develop and maintain operational processes and SOPs as the business grows
Wholesale Operations & Coordination
- Manage day-to-day operational correspondence with our Australian and US wholesale sales teams and retail partners
- Coordinate purchase orders, order confirmations, product information and delivery schedules
- Create and maintain seasonal line sheets
- Ensure sales teams have the imagery, pricing, samples and product information required for each selling season
- Maintain wholesale order records and monitor delivery windows and deadlines
- Coordinate wholesale shipments and retailer deliveries
- Route major retailer orders through platforms such as SPS Commerce
- Support invoicing and follow up outstanding wholesale payments alongside our finance support
This role coordinates the operational side of wholesale rather than wholesale selling. SONYA MODA works with dedicated external sales teams across our markets.
Production Coordination
- Manage day-to-day factory correspondence regarding production, samples, timelines and deliveries
- Maintain production schedules and proactively follow up deadlines
- Track samples,
production and shipments and flag potential delays
- Coordinate shipments with factories and couriers
Product design, fittings and final product approvals remain with the Founder.
Inventory, Fulfilment & Logistics
- Manage stock receiving, stock movements and inventory administration
- Pick, pack and fulfil customer orders to SONYA MODA's presentation standards, ensuring every order is beautifully prepared and feels like receiving a gift
- Steam and prepare garments for dispatch where required
- Generate shipping labels and coordinate couriers
- Pack and prepare wholesale AU orders
- Coordinate domestic and international shipments
- Troubleshoot shipping and logistics issues
- Maintain packaging and operational supplies
Packing and fulfilment are an important part of this role initially. As the team grows, some of these responsibilities may be trained and delegated to additional team members.
Samples & E-commerce
- Receive, organise, track and ship seasonal samples locally and internationally
- Coordinate sample returns and ensure all samples remain accounted for
- Upload and maintain products, costs, SKUs, pricing, imagery and inventory in Shopify
- Assist with product launches and sale administration as required
Campaign & Shoot Coordination
- Assist the Founder with the operational organisation of campaign and e-commerce shoots
- Coordinate models, photographers, hair and makeup, studios and locations
- Organise garments, samples, couriers and shoot logistics. Creative direction remains with the Founder.
Returns & General Operations
- Receive, inspect and process customer returns
- Accurately return approved stock into inventory
- Assist across the business wherever operational support is required
ABOUT YOU

You're proactive rather than reactive. You anticipate what needs to happen, take ownership and don't need to be told every next step.
You're systems-minded and enjoy creating structure, improving processes and finding more efficient ways of working.
You work quickly without sacrificing accuracy and have exceptional attention to detail.
You're calm under pressure and comfortable managing multiple priorities and deadlines within a fast-moving business.
You communicate professionally and confidently with factories, suppliers, retailers,
sales agents and external partners.
You're numerically confident and comfortable working with inventory, sales, costs and orders.
You're resourceful and solutions-focused, with a genuine "I'll work it out" mentality.
You're trustworthy and discreet when handling confidential commercial information.
Most importantly, you're hands-on and don't have an ego around what needs to get done. One moment you may be communicating with an international wholesale partner, and the next you may be steaming a garment, packing customer orders or preparing an urgent shipment.
EXPERIENCE & SYSTEMS
Experience within fashion, e-commerce, wholesale operations, production, inventory, logistics or a fast-paced consumer brand would be highly regarded.
Experience with the following would be advantageous:
- Shopify
- Excel / Google Sheets
- Inventory or ERP systems
- B2B wholesale platforms
- SPS Commerce or similar retailer/EDI platforms
- Shipping and courier platforms
- Google Workspace / Microsoft Office
You don't need to know every system from day one. More important is that you're highly systems-confident, learn quickly and can take ownership of new processes.
Strong written communication, numerical confidence and exceptional attention to detail are essential.
WHO THIS ROLE WOULD SUIT
You may already work in fashion operations, production, wholesale administration, e-commerce or brand operations, or you may be an exceptional coordinator ready to step into greater ownership.
We're looking for someone ambitious who wants to grow with the business, not simply perform a list of tasks.
As SONYA MODA grows, we see this role evolving too, with the opportunity to help build systems, train additional team members and take increasing ownership of the operational side of the brand.

Schedule: 4 days per week
Employment: Permanent part-time
Growth: Potential to move to 5 days as the business scales
