Bringing together experienced GPs, specialists, allied health professionals and nursing care, our focus is on high-quality, collaborative and personalised healthcare, with the patient experience at the heart of everything we do.

As we prepare to open our doors, we're looking for an experienced and exceptional Full-Time Practice Manager to join our foundation team and help bring the Vive vision to life.

This is a unique chance for an experienced healthcare leader who wants to do more than simply manage an established practice.

About the Role

As Practice Manager, you'll oversee the day-to-day operational management of Vive while working closely with the clinic owners and clinical team.

You'll play an integral role in establishing the practice from its opening and developing the operational foundations required to support its future growth.

Your responsibilities will include

- Leading the day-to-day operations of the practice
- Supporting the owners with implementation of the clinic's vision and operational strategy
- Recruitment, onboarding, training and ongoing management of staff
- Developing a positive, accountable and supportive workplace culture
- Managing reception, nursing and administrative workflows
- Supporting GP, specialist and allied health practitioner onboarding
- Rostering, workforce planning and leave management
- Establishing and maintaining efficient practice systems and processes
- Managing patient service standards and the overall patient experience




- Monitoring practice performance, KPIs and operational outcomes
- Supporting billing, Medicare and private fee processes
- Managing budgets, expenses, suppliers and operational costs
- Overseeing recalls, reminders and administrative systems
- Managing complaints and service recovery professionally and compassionately
- Accreditation preparation and ongoing compliance
- Quality improvement and clinical governance support
- Privacy, WorkSafe, infection control and practice compliance
- Managing stock, equipment, contractors and external providers
- Working with Best Practice and HotDoc
- Identifying opportunities to improve efficiency, service delivery and practice growth
- Helping develop Vive's policies, procedures and operational frameworks

Most importantly, you'll help ensure that the experience we promise our patients is reflected in every interaction they have with Vive.

Who We're Looking For

We're looking for an experienced Practice Manager who combines strong operational capability with genuine people leadership.

You understand the realities of running a busy medical practice, but you also recognise that culture, communication and patient experience matter just as much as systems and numbers.

You'll be a great fit if you:

- Have demonstrated Practice Management experience within General Practice, specialist practice or a similar healthcare environment
- Have robust knowledge of medical practice operations
- Understand Medicare, private billing and healthcare administration
- Have experience leading and developing multidisciplinary teams
- Are confident managing staff performance, recruitment and workplace matters
- Understand accreditation, compliance and quality improvement
- Have strong financial and commercial awareness
- Can monitor KPIs and identify opportunities for operational improvement
- Are highly organised and comfortable managing competing priorities
- Can build systems rather than simply follow them
- Communicate confidently and professionally with doctors, staff, patients and external providers
- Are proactive and comfortable taking ownership
- Lead with kindness, accountability and respect
- Are humble, approachable and genuinely enjoy supporting others
- Want to contribute ideas and be involved in the growth of the practice





Experience with Best Practice and HotDoc is preferred and will be highly regarded.
