ABOUT THE ROLE

Stanley College is seeking an experienced Head of Course Progression to lead the integrity, accuracy and timely administration of academic results, course progression, completion and award eligibility across our Higher Education and VET portfolios.

This national leadership role is responsible for ensuring students have a clear and viable pathway through their course, with progression status, sequencing risks and completion eligibility identified and addressed in a timely manner.

Leading the Course Progression team, you will translate approved course requirements and institutional progression rules into authorised learning maps, clear operational instructions, reliable reporting and sound pathway decisions. You will work closely with academic and operational stakeholders to ensure progression information is accurate, controlled, auditable and aligned with approved requirements.

The role reports to the Chief Academic Officer and works collaboratively with the Registrar and Operations, Schools, Learner Success, Strategic Partnerships, Learning Teaching and Innovation, Academic Operations, Academic Strategy and Planning, and Quality Assurance & Compliance.

KEY RESPONSIBILITIES

Academic Results & Records

- Ensure academic results are complete, accurate and appropriately authorised before finalisation.
- Oversee results processing and the timely, controlled finalisation of Board of Examiners outcomes, ensuring anomalies are identified and resolved before publication.
- Ensure approved results, progression decisions, completion outcomes and award eligibility information are provided accurately and promptly to Operations for entry into the official academic record, with appropriate reconciliation following data entry.
- Ensure any changes to finalised results are appropriately authorised, documented, controlled and auditable before being submitted to Operations for updating.
- Coordinate School Managers’ preparation and submission of accurate grade data and prepare and finalise Board of Examiners outcomes on behalf of Heads of School, recognising that grade authority remains with the relevant academic decision-makers and Board of Examiners.

Academic Progression & Pathway Oversight

- Determine and administer student progression status against approved course rules, prerequisites and progression requirements.
- Monitor student progression to identify sequencing issues, progression barriers and potential delays to completion.
- Authorise individual learning maps in consultation with the relevant APM, or the Program Manager or Dean – VET for VET students, and approve pathway exceptions such as prerequisite waivers, substitutions, overloads and extended duration with appropriate consultation and documented rationale.
- Ensure learning maps are updated following approved credit transfer and RPL outcomes, Operations is informed of each student’s study plan, and learning maps are appropriately versioned and reconciled with the official record following relevant transactions.
- Ensure students studying outside the standard course sequence, including part-time students, have a documented and viable pathway to completion.
- Maintain a controlled register of pathway decisions and change requests submitted to Operations, ensuring discrepancies remain open and are followed through until corrected.

Course Completion & Award Eligibility

- Ensure students who have satisfied all course requirements are accurately and promptly identified as eligible for completion and award.
- Oversee completion checks and prepare the required evidence and award documentation for issue by Operations, supporting the Registrar with graduation administration.
- Ensure completion and award decisions are supported by accurate and ratified academic records.

Progression Reporting & Forecasting

- Act as the primary source of progression and completion information, drawing on the official academic record to support academic leadership, governance and institutional reporting.
- Provide reliable progression and results data to support academic leadership, quality assurance and strategic planning.




- Analyse student progression data to forecast demand and identify additional or alternative unit and course offerings required to support timely progression and completion, including planned summer school offerings.
- Escalate significant or non-business-as-usual requirements to Academic Operations and Academic Strategy and Planning.
- Identify systemic progression bottlenecks and provide insights to support academic and operational decision-making, referring recurring course design issues to Learning Teaching and Innovation.
- Provide a monthly management view across sector, course and campus, escalate urgent exceptions immediately, and provide governance reporting focused on trends, unresolved risks and actions rather than identifiable student case details unless required for decision-making.

Higher Education & VET Alignment

- Ensure consistent application of progression integrity, results administration and academic record data processes across both Higher Education and VET portfolios.
- Work closely with the Dean – VET, VET Program Managers and VET Operations Coordinator to address VET-specific delivery requirements while maintaining reporting accountability to the Head of Course Progression.
- Identify and address inconsistencies in progression practices, data or reporting between Higher Education and VET.

Team Leadership & Capability

- Lead, develop and manage the Course Progression team, including HE and VET Course Progression Officers, the Academic Results & Records Officer and Course Progression Administrators.
- Build a culture of accuracy, timeliness, accountability and service across the team, including offshore administrative support functions.
- Ensure School Managers are appropriately equipped and supported to fulfil their responsibilities relating to data readiness, checking, coordination and follow-up.

Stakeholder Partnership & Governance

- Maintain clear and effective working relationships with the Registrar and Operations, Schools, Learner Success, Strategic Partnerships, Learning Teaching and Innovation, Academic Operations, Academic Strategy and Planning and Quality Assurance & Compliance.
- Maintain clear accountability boundaries between progression administration and academic decision-making. Schools retain responsibility for academic decisions, marking, assessment design and moderation; Learner Success and Schools manage academic-risk cases; and APMs assess and approve credit transfer and RPL.
- Ensure academic interventions for students at risk are timely, coordinated and informed by reliable Course Progression data, without assuming responsibility for academic advising, student support or case management.

Governance, Risk & Continuous Improvement

- Identify, assess, manage and escalate material risks relating to progression integrity, results accuracy and completion or award eligibility.
- Provide authoritative advice to academic governance forums on progression status, risks, trends and forecasting.
- Maintain and continuously improve Course Progression policies, processes, trackers and systems.

Workplace Safety & Wellbeing

- Exercise due diligence as a senior leader to support a safe and healthy working and learning environment.
- Ensure hazards, incidents and psychosocial risks within the team are identified, reported and addressed in accordance with College requirements.
- Model and reinforce compliance with workplace health, safety and wellbeing policies and procedures.

QUALIFICATIONS AND EXPERIENCE

- Relevant tertiary qualification in education, business, data/records management or a related field; equivalent relevant experience will also be considered.
- Substantial experience in academic administration, course progression,



academic results or student records management within a Higher Education and/or VET provider.
- Demonstrated experience leading a team responsible for academic records, progression or results administration, including remote, offshore or outsourced administrative functions.
- Experience working across both Higher Education and VET regulatory and academic environments is highly desirable.
- Demonstrated experience interpreting and applying course rules, progression requirements and academic policies with accuracy and consistency.

KNOWLEDGE AND SKILLS

- Strong knowledge of course progression, results administration, academic records and completion and award processes.
- Sound understanding of the Higher Education Standards Framework, AQF and VET regulatory requirements as they relate to progression, records and reporting.
- Strong analytical and reporting capability, with the ability to identify progression trends, risks and systemic bottlenecks.
- High attention to detail and a rigorous, controlled and auditable approach to data integrity.
- Proven ability to lead and develop teams, including remote and offshore administrative staff.
- Strong understanding of the relationship between progression administration, academic decision-making, student support and regulatory compliance.
- Highly developed communication and stakeholder management skills, with the ability to build effective working relationships with School Managers, academic leaders and operational stakeholders.
