About the Role
Australian Bollards is seeking a capable and versatile IT & Digital Systems Coordinator to support our growing group of businesses.
This is a hands-on role covering website development, digital marketing, graphic design, general IT support, cloud systems and emerging AI technologies. The successful applicant will work across multiple Australian Bollards entities and help improve the efficiency, security, and scalability of our digital operations.
The role is suited to someone who is technically capable, highly organised and comfortable managing a broad range of responsibilities.
Key Responsibilities
Website Development and Management
- Create, update, and maintain company websites.
- Manage company domains, hosting services, SSL certificates and related accounts.
- Conduct regular maintenance and performance checks across more than 50 websites.
- Add new products, pages, features and website content.
- Monitor website uptime, speed, security and overall performance.
- Troubleshoot website, hosting, domain and email-related issues.
- Maintain website backups, plugins, integrations and security systems.
Digital Communication and Customer Interaction
- Maintain security checks across company websites and online systems.
- Assist with improving automated customer communication processes.
- Monitor digital platforms and escalate technical or customer service issues when required.
Graphic Design and Digital Media
- Use graphic design and AI-based platforms to create digital marketing materials.
- Design and edit product images, brochures and specification sheets.
- Create business cards, email signatures and other branded materials for Australian Bollards entities.
IT Support and Systems Management
- Provide general IT support across the company.
- Maintain and troubleshoot company email systems.
- Set up printers, computers, monitors and other office equipment.
- Configure PCs and user accounts for current employees.
- Troubleshoot computer, software, hardware, and connectivity issues.
- Manage user access, passwords, security permissions and system accounts.
- Monitor network activity and help maintain reliable and secure company systems.
- Coordinate with external IT providers when specialist assistance is required.
Cloud Migration and Microsoft Systems
- Support the implementation and management of Microsoft 365 systems.
- Help design and implement an effective Microsoft-based communication and collaboration system across employee computers.
- Assist with Microsoft Teams, SharePoint, Outlook, Power Automate and related applications.
- Support document management, file sharing, permissions and data security.
Artificial Intelligence and Business Automation
- Use large language models and generative AI tools to improve internal business processes.
- Assist with implementing AI agents and agentic workflows across suitable areas of the business.
- Identify opportunities to automate repetitive administrative, marketing, customer service and operational tasks.
- Use AI tools to improve content creation, customer communication, lead management and internal reporting.
- Contribute ideas for using AI to support business growth, operational efficiency, upselling and cross-selling opportunities.
- Test, document and improve AI-assisted processes while maintaining appropriate data security and human oversight.
Skills and Experience The successful applicant should have:
- Experience in website development and website management.
- Knowledge of WordPress or similar content management systems.
- Experience managing domains, hosting services, DNS records and SSL certificates.
- General knowledge of website security, backups and performance optimisation.
- Practical experience providing IT support in a business environment.
- Knowledge of Microsoft 365, Outlook, Teams, Power Automate, and SharePoint.
- Basic networking, router, printer, and computer troubleshooting skills.
- Basic knowledge of using graphic design platforms such as Adobe Creative Cloud, Canva or similar software.
- Basic video creation and editing skills.
- Strong organisational and time-management skills.
- The ability to manage multiple websites, systems and priorities.
- Strong written and verbal communication skills.
- The ability to work independently and take ownership of assigned tasks.
AI and Automation Knowledge
Applicants must have a basic understanding of:
- Large language models, including tools such as ChatGPT, Claude, Gemini or similar platforms.
- Generative AI for written content, images, research and business communication.
- AI agents and agentic models.
- Workflow automation and the use of AI to connect or improve business processes.
- The importance of privacy, data security and human review when using AI systems.
Experience with automation platforms, APIs, CRM systems, AI workflow tools or custom AI agents will be highly regarded.

You will be expected to manage competing priorities, document your work, and communicate clearly with employees who may lack technical expertise. You should also be willing to learn new systems and explore practical ways that AI and automation can contribute to business growth.
