Brand Activations & Displays – Logistics & Administration Coordinator
Employment: Full-Time, Monday–Friday
Hours: 9am–5:00pm
We’re looking for a highly organised, proactive and confident Logistics & Administration Coordinator to join our fast-paced Brand Activations & Displays team.
This is a hands-on coordination role suited to someone who loves keeping things organised, communicating with people and making sure projects run smoothly behind the scenes. You’ll support the team across logistics, administration, supplier coordination, site requirements and the day-to-day delivery of brand activations and displays.
Key Responsibilities
- Coordinate logistics for brand activations, displays, installations and events.
- Book and manage couriers, freight, deliveries and collections.
- Liaise daily with installers, suppliers, production partners, venues and clients.
- Make and receive phone calls throughout the day to coordinate jobs, confirm details and resolve issues.
- Track deliveries and ensure activation assets arrive at the correct location and on time.
- Coordinate bump-ins, bump-outs and installation requirements.
- Attend site surveys to take measurements, photos and gather relevant site information.
- Complete local pick-ups and drop-offs of activation materials, samples, signage and other items as required.
- Assist with quotes, purchase orders, invoices, schedules, run sheets and general project administration.
- Maintain accurate job records, supplier information and project documentation.
- Follow up suppliers and clients for outstanding information and approvals.
- Assist the wider team with day-to-day administration and project coordination.
- Troubleshoot logistical issues quickly and communicate updates clearly.
- Help ensure deadlines are met across multiple projects running simultaneously.
- Be willing to assist with other reasonable tasks required to support the Brand Activations & Displays team.

- Able to manage multiple jobs and priorities at once
- Calm and solutions-focused when plans change or issues arise
- Reliable, punctual and able to take ownership of tasks
- Strong with general administration and computer systems
- Comfortable working in a fast-paced, deadline-driven environment
- Happy to get out of the office when required for site visits, collections and deliveries
- A team player who is willing to jump in and help wherever needed
Licence Requirement A current valid driver’s licence is essential for this position.
The successful candidate will be required to drive as part of their role for site surveys, supplier/client pick-ups, deliveries and other business requirements as needed.
You must therefore be confident and comfortable driving regularly.
Experience
Previous experience in logistics, administration, project coordination, events, activations, production, displays or a similar environment would be highly regarded.
Experience within the brand activation or events industry is beneficial but not essential. More importantly, we’re looking for someone with strong organisational skills, confidence communicating with people and the ability to learn quickly.
Working Hours
This is a full-time, five-day-a-week position, Monday to Friday, 9am–5:00pm.
The role will work closely with our Brand Activations & Displays team to ensure projects move smoothly from planning and production through to delivery and installation.
