Administration & Rostering Officer
RealCare Assist | Disability Support Services
RealCare Assist is seeking a highly organised, proactive and personable Administration & Rostering Officer to join our team.
This is a key office-based role responsible for coordinating participant supports, maintaining staff rosters, assisting with payroll preparation, managing administrative requirements and providing professional communication to our participants, families, support workers and other stakeholders.
Working within the disability support sector can be fast-paced and unpredictable, so we are looking for someone who can confidently manage competing priorities, problem-solve when circumstances change and remain calm and professional under pressure.
About the Role
As our Administration & Rostering Officer, you will play an important part in the day-to-day operation of RealCare Assist. You will work closely with management, office staff and our support worker team to ensure participant supports are appropriately coordinated and our administrative systems remain accurate, organised and compliant.
Your responsibilities will include:
- Coordinating and maintaining staff rosters to meet participant support requirements
- Managing roster changes, staff availability, leave and unexpected shift vacancies
- Communicating with participants, families, support workers and other stakeholders regarding support arrangements
- Recording, reviewing and reconciling staff timesheets in preparation for payroll
- Responding to staff enquiries regarding rosters, timesheets and administrative processes
- Maintaining accurate participant and employee records
- Monitoring staff compliance requirements, mandatory training and certification expiry dates
- Maintaining staff training and compliance registers
- Assisting with the coordination of staff training and professional development
- Supporting NDIS documentation, compliance requirements and audit preparation
- Managing emails, phone calls, calendars, correspondence and general office administration
- Maintaining accurate databases, filing systems and document control
- Assisting management with reports, data collection and other operational requirements
- Identifying opportunities to improve administrative and rostering processes
- Participating in an after-hours phone roster, including evenings and weekends, to assist with urgent staffing changes, participant cancellations and shift coverage when required.
About You
We are looking for someone who is organised, reliable and confident communicating with a wide range of people.
You will need to be able to think on your feet. Rostering within disability support involves balancing participant preferences, staff availability, qualifications, continuity of care and unexpected changes. The successful applicant will be comfortable finding solutions while maintaining a person-centred and professional approach.
Ideally, you will have:
- Previous administration, rostering, scheduling or workforce coordination experience
- Strong organisational and time-management skills
- Excellent written and verbal communication skills
- A professional and confident telephone manner
- High attention to detail and commitment to data accuracy
- Strong computer skills, including Microsoft Word, Excel, Outlook and general database systems
- The ability to manage multiple priorities and deadlines
- Strong problem-solving skills and the ability to use initiative
- The ability to maintain confidentiality when handling sensitive participant and employee information
- A positive and professional approach to working as part of a team.
Experience within the NDIS, disability, community services, aged care or health sector will be highly regarded, as will an understanding of NDIS compliance requirements.
