The role includes dedicated support to the Principal across diary management, travel, appointments, correspondence and general coordination, while also assisting Business Manager with client liaison, marketing, communications, website management, events and business administration.
The successful candidate will be highly organised, proactive and discreet, with the ability to anticipate requirements, manage competing priorities and see tasks through to completion. The role requires someone who is confident working independently, comfortable in a fast-paced creative environment
and able to represent the company with professionalism, warmth and discretion.
KEY RESPONSIBILITIES
1. Support to Business Manager
- Work closely with Business Manager to assist with the smooth running of the business and provide ay-to-day administrative and coordination support.
2. Support to the Principal
- Provide day-to-day support to the Principal, assisting with the coordination of their schedule, appointments and commitments.
- Coordinate complex diary requirements, including meetings across multiple time zones.
- Organise domestic and international travel, including flights, accommodation, transfers and itineraries.
3. Studio Coordination & Administration
- Assist with the day-to-day coordination of the studio and ensure key administrative requirements are followed through.
- Assist with organising internal meetings and presentations.
- Ensure the studio and meeting areas are appropriately prepared for client and external meetings.
- Coordinate office supplies, stationery, refreshments and general studio requirements.
4. Client & Supplier Liaison
- Maintain professional and friendly communication with clients, suppliers, consultants and external contacts.
- Coordinate client appointments, showroom visits, supplier meetings and other client-related activities.
- Assist with organising client gifts, invitations and other relationship-management requirements.
5. Marketing, Website & Communications
- Working closely with Business Manager, assist with the ongoing marketing and communications activities of the practice.
- Maintain and update the company website.
- Upload and update project imagery, project information, news and team information.
- Assist with social media content and scheduling.
- Assist with the organisation and coordination of studio events, client functions and team events.
SKILLS & EXPERIENCE
- 10 years' experience in a Studio Manager or similar role.
- Previous experience supporting a senior executive, principal or director is highly desirable.
- Excellent written and verbal communication skills.
- Strong organisational skills and exceptional attention to detail.
- Ability to manage multiple priorities and deadlines simultaneously.
- Strong diary and time-management skills.
- Highly proactive, with the ability to anticipate requirements and take initiative.
- Professional, polished and confident when dealing with clients and external contacts.
- Robust interpersonal skills and the ability to work effectively within a creative team.
- Proficient in Microsoft Office, particularly Outlook, Word and Excel.
- Comfortable working across digital platforms, websites and social media.
- Versatile and willing to assist across a broad range of responsibilities.
