Operations Team Support Officer (part-time)
Clayfield College is a leading independent school, owned and governed by the Presbyterian and Methodist Schools Association (PMSA) on behalf of the Presbyterian and Uniting Churches. About the role
The Operations Team Support Officer provides high-level, professional administrative coordination and support to the Operations Manager across a portfolio of facilities including (but not limited to) maintenance, pool operations, contractor services, workplace health and safety and compliance and project management.
The role is a broad, service-focused role that acts as a central coordination point for operational information, requests, records and actions. The position works across multiple priorities and stakeholders, uses sound judgement and initiative, and maintains accurate records and professional communication to internal and external stakeholders. The role supports operational delivery and compliance administration but does not replace the technical accountabilities of qualified trades, contractors, project consultants or designated WHS & Compliance specialists.
Please note, this is a part-time role, working 28 hours per week.
Responsibilities
The responsibilities listed below are indicative and may be adjusted over time to reflect evolving operational needs.
1. Provide administrative support to Operations Manager
Assist with the preparation of correspondence, reports, briefing notes and presentations.
Act as a central coordination point for Operational documentation and information flow.
Support cross-portfolio projects and initiatives as directed.
Create systems and processes to ensure appropriate storage of files and information.
Provide support across a portfolio of building projects, including but not limited to coordination of meetings, tender documents, tracking of applications and approvals documents, ensuring appropriate digital storage.
2. Maintenance and Facilities Support
Provide administrative support for operations and facilities functions, including:
Follow-up of outstanding maintenance actions
Liaison with contractors and external service providers as directed
Preparation of requisitions in line with Accounts procedures
Support with contract management services
Providing a point of contact for external hire contracts
Maintenance of digital records, certificates, plans and compliance documentation
Support operational planning for school events where facilities or contractor coordination is required.
3. Systems, Records and Process Improvement
Ensure accurate, consistent and secure record-keeping across corporate portfolios.
Maintain digital filing systems in accordance with College requirements.
Identify opportunities for improved administrative processes and workflow efficiencies.
Support change management initiatives through clear documentation and communication
Reporting Relationships
The Operations Team Support Officer is ultimately responsible to the Principal, however,
on a day-to-day basis, reports to the Operations Manager.
Skills and Attributes
Highly developed organisational and administrative skills.
Ability to manage competing priorities across multiple leaders.
Strong written and verbal communication skills.
High level of discretion and ability to maintain confidentiality.
Demonstrated initiative and ability to work with limited supervision.
Strong attention to detail and commitment to accuracy.
Ability to build effective working relationships across diverse teams.
Competency in Microsoft Office and willingness to learn College-specific systems (e.g TASS, Upkeep, HRIS)
Key Selection Criteria
Demonstrated experience in an administrative role, with proven ability to support multiple stakeholders in a multi-faceted / complex environment.
Strong judgment, professionalism and confidentiality.
Ability to work both independently and collaboratively.
Highly developed interpersonal and communication skills
Excellent interpersonal, organisational and administrative skills
