We are seeking an experienced Business Administration and Operations Manager to support the effective coordination of our business operations and organisational growth.

We are seeking an experienced Business Administration and Operations Manager to support the effective coordination of our business operations and organisational growth.
About the position
The Business Administration and Operations Manager will coordinate the organisation's administrative, financial, workforce, compliance and business systems.
Working under the direction of the Managing Director, the successful applicant will help establish effective operational processes, maintain reliable business records and support regulatory and audit readiness.
This is a non-clinical management position. Clinical decisions and clinical governance responsibilities remain with the Clinical Care Manager and appropriately qualified health professionals.
Key responsibilities
coordinate day-to-day business administration and operational activities;
maintain efficient administrative systems, workflows and business records;




support recruitment, onboarding, personnel records and workforce compliance;
coordinate payroll information, invoicing, accounts monitoring and financial reports;
work collaboratively with the outsourced accountant;
maintain policies, procedures, registers and document-control systems;
monitor screening checks, qualifications, training and employment documentation;
support aged-care and NDIS registration, compliance and audit preparation;
administer business systems, including ShiftCare, Xero and Google Workspace;
monitor operational performance, risks, incidents, complaints and improvement actions;
prepare reports for the Managing Director and Governing Body;
coordinate supplier and subcontractor administration; and
escalate significant operational, financial, workforce or compliance risks appropriately.
Essential requirements
Applicants must have:
a diploma-level or higher qualification in business, management, administration or a related discipline;
at least three years of relevant operational, administrative or management experience;
demonstrated financial-administration capability, including payroll coordination, invoicing, budget monitoring or financial-reporting support;
demonstrated experience in workforce coordination, recruitment, onboarding or personnel administration;
experience maintaining compliance records, policies, registers and audit evidence;
strong business systems and electronic records-management capability;
excellent written and verbal communication skills;
strong organisational,



problem-solving and time-management skills;
the ability to handle confidential and sensitive information appropriately; and
satisfactory employment, qualification, identity, work-right and screening checks.
Highly desirable
Preference may be given to applicants who have:
a bachelor's degree in business, commerce, management, accounting, human resources, health administration or a related field;
at least five years of management or senior operational experience;
experience in aged care, Support at Home, NDIS, disability, health or community services;
experience preparing an organisation for registration, certification or regulatory audits;
knowledge of the NDIS Practice Standards, aged-care requirements and the SCHADS Award;
experience using ShiftCare, Xero and Google Workspace; and
experience reporting to directors, executives or a governing body.
Screening and verification
The preferred applicant will be required to complete or provide:
proof of identity and Australian work rights;
qualification verification;
employment history and professional reference checks;
a National Police Check;
an NDIS Worker Screening Check, where required;
a Working with Children Check, where required;
disclosure of actual, potential or perceived conflicts of interest; and
any other checks relevant to the position.
