Core Purpose
Infinity Steel Fixers is growing and expanding with additional projects and is looking for a full time Office Manager to oversee and manage the day-to-day administration, operations, and support functions of the business to ensure efficient delivery of contracts and other service projects across client sites.
Candidate Should Have
An Australian master's degree in business administration.
At least 1 year of Australian work experience as a manager in the construction and trade services industry.
At least
3 years of relevant experience in office administration, operational coordination and staff management,
including experience gained in
Australia and overseas.
Strong organisational, communication and stakeholder management skills.
Ability to manage multiple tasks and coordinate staff, contractors, clients and suppliers.
Key Duties & Responsibilities
Operations & Service Delivery
Coordinate daily schedules for trade services teams across multiple client sites.
Liaise with site supervisors and clients to ensure service standards, scope of works, and SLAs are met.
Coordinate steel fixing contracts across multiple client sites and project stages
Liaise with builders and head contractors regarding scope of works, site requirements and delivery timelines
Monitor job progress, address service issues, and implement corrective actions to maintain client satisfaction.
Conduct regular site visits and audits to verify quality, safety, and compliance.
Administration & Documentation
Maintain accurate records of contracts, service agreements, work orders, and client correspondence.
Prepare and process invoices, purchase orders, and supplier payments in coordination with accounts.
Manage employee records, rosters,
timesheets, and leave in line with company policy and Fair Work requirements.
Develop and update operational procedures, checklists, and standard operating procedures.
Staff & Contractor Management
Manage subcontractor and labour hire arrangements including scheduling, allocation and performance monitoring
Oversee recruitment, onboarding, and induction of administrative, trade services and operational staff.
Allocate resources and staff to jobs based on skill, location, and workload.
Monitor staff performance, provide training where required, and conduct performance reviews.
Ensure all staff hold current clearances, inductions, and PPE compliance.
Compliance & WHS
Ensure company operations comply with Victorian OHS/WHS legislation, environmental standards, and industry regulations.
Ensure compliance with construction industry regulations including OHS, SWMS, PPE and site induction requirements
Maintain incident and hazard registers and coordinate risk assessments for client sites.
Liaise with external auditors and regulatory bodies during compliance checks and audits.
Assist with budget preparation, cost tracking, and variance analysis for operational activities.
Prepare weekly and monthly operational reports for management, including productivity, costs, and client feedback.
Identify cost-saving opportunities and process improvements in service delivery.
Act as the primary point of contact for key clients on operational and administrative matters.
Handle client enquiries, complaints, and requests promptly and professionally.
Build and maintain strong relationships with clients, suppliers, and subcontractors.
