We are seeking an experienced Office Manager to establish and operate our office management systems as we transition from a project-based startup to an industrialised housing product company. This role integrates China supply chain logistics coordination, legal compliance oversight (China regulations), and office administration management. You will report directly to the Director and play a key role in ensuring our manufacturing and on-site delivery systems are supported by a robust, compliant and productive administrative framework.
Key responsibilities
Coordinate end-to-end logistics of materials imported from China to Australia, including supplier communication, freight forwarding, customs clearance and warehousing
Manage logistics providers, freight forwarders and customs brokers in China to ensure cost-effective and timely delivery
Monitor shipment timelines, costs and cargo integrity, and report regularly to Australian management
Apply legal knowledge to supervise compliance with Chinese export regulations, including export permits, inspection and quarantine requirements
Review supplier contracts and other legal documents from a Chinese regulatory perspective
Assist the company in responding to enquiries from Chinese regulatory authorities
Contribute to the planning,
review and establishment of office administrative systems, priorities and service standards
Develop and manage the office budget, monitor operating costs and align expenditure with the company's cost model
Manage office equipment, space and fixed assets to support multiple concurrent projects
Allocate human resources, workspace and equipment efficiently across the administrative team
About you
Experienced in office management
Knowledge of China supply chain logistics and Chinese export regulations
Legal knowledge to supervise compliance with Chinese export regulations
Ability to assign work to administrative staff, monitor performance and organise training to ensure compliance with standard operating procedures (SOPs)
Understanding of occupational health and safety (WHS) regulations and relevant Australian government legislation
Ability to liaise with external professionals and internal project teams to coordinate business activities and resolve administrative problems
Ability to collect and analyse office operations data and report findings to management
Experience in establishing and maintaining office documentation systems for classification, filing and retrieval
