About the role

Bumi Resources Australia Pty Ltd (BRA) is the Australian sub-holding company of PT Bumi Resources Tbk (BUMI), responsible for the Group’s Australian non-coal mineral portfolio.

We are seeking an experienced Executive Assistant to provide high-level executive and administrative support to the Chief Executive Officer and Co-Chief Executive Officer of BRA.

This is a highly trusted position requiring exceptional organisation, discretion, judgement and attention to detail. The successful candidate will act as a key point of coordination for the CEOs, supporting the effective management of their schedules, meetings, travel, correspondence and executive priorities.

The role will also provide broader executive office and administrative support across BRA, including coordination with BUMI stakeholders, onboarding of new employees and the day-to-day functioning of the BRA head office.

Key responsibilities:

Executive Support

- Manage and coordinate the diaries of both CEOs, including complex scheduling, competing priorities and last-minute changes.

- Anticipate executive requirements and proactively identify scheduling conflicts and priorities.

- Prepare CEOs for meetings through agendas, briefing materials, presentations, reports and supporting documentation.

- Screen, prioritise and coordinate correspondence, calls and requests directed to the CEOs.

- Draft, format, edit and proofread correspondence, reports, presentations and other executive documentation.

- Maintain accurate, confidential and well-organised executive records and files.

Meetings & Stakeholder Coordination

- Coordinate internal and external meetings, including venues, technology, catering, attendees and supporting documentation.

- Coordinate meetings with BUMI/JKT and other key internal and external stakeholders.

- Prepare meeting agendas, papers,



minutes and action registers where required.

- Follow up outstanding actions and ensure key commitments are tracked.

Travel & Logistics

- Coordinate domestic and international travel arrangements for the CEOs, including flights, accommodation, transfers, itineraries and travel documentation.

- Provide travel and logistical support to BRA employees where required.

- Coordinate executive travel changes and urgent arrangements as required.

Executive Office & Administration

- Support the day-to-day operation of the BRA executive office.

- Coordinate office requirements, suppliers, facilities and administrative services.

- Process executive expense claims, invoices and administrative payments accurately and within required timeframes.

- Maintain appropriate registers, records and documentation.

- Coordinate onboarding activities for BRA new starters and liaise with BUMI and relevant internal teams.

Confidentiality & Professional Conduct

- Handle highly sensitive executive, commercial, financial and personnel information with absolute discretion.

- Exercise sound judgement regarding confidential information and matters requiring escalation.

- Represent the CEOs’ office professionally when dealing with employees, executives, directors, BUMI representatives and external stakeholders.

About you

You will be an experienced Executive Assistant who is comfortable operating in a fast-paced,



senior executive environment and managing competing priorities with minimal supervision.

You will demonstrate:

- Previous experience supporting a CEO, Managing Director, Executive Director or senior executive.

- Exceptional diary and time-management skills.

- Robust written and verbal communication skills.

- High attention to detail and strong document preparation skills.

- Demonstrated ability to manage confidential and sensitive information.

- Excellent organisational and prioritisation skills.

- Strong Microsoft Office capability, particularly Outlook, Word, Excel and PowerPoint.

- Professional and confident stakeholder management skills.

- Ability to work autonomously and anticipate the needs of senior executives.

- Flexibility and composure when priorities change.

- Previous experience in mining, resources, construction, engineering or another complex corporate environment would be highly regarded.

- Experience working with international stakeholders would be advantageous.

You will have:

- A tertiary qualification, minimum a diploma in secretarial studies, office administration, or business administration; a Bachelor's degree in a business or administration field is preferred

- Right to work in Australia

- Bahasa Indonesia language ability is an advantage given coordination with the BUMI parent
