Wongaburra is seeking a warm, professional and organised Receptionist to be the first point of contact for visitors, families, contractors and other stakeholders at our residential care site.
This is a key front-of-house and administrative support role that helps create a positive first impression of our organisation while ensuring smooth day-to-day operations. You will address all incoming phone calls, coordinate site access and security protocols as required, deliver excellent customer service, and provide reliable administrative support to the Clinical Care Coordinator, Charge Nurses and the wider residential care team.
Key Responsibilities
- Greet and welcome visitors, families, residents and contractors in a friendly, professional manner
- Answer the main reception line, direct calls and take accurate messages
- Manage visitor sign-in/out processes, site access and security monitoring (including CCTV)
- Schedule and coordinate appointments, manage calendars and assist with transport arrangements
- Provide information and practical assistance to residents, families and visitors
- Maintain a clean, tidy and welcoming reception area
- Handle mail and deliveries, maintain stationery supplies and support meeting preparation
- Provide administrative support to the Clinical Care Coordinator and Charge Nurses (document preparation, filing, archiving, posters/flyers, records management, etc.)
- Assist with minor IT/phone troubleshooting and contractor coordination
- Uphold confidentiality, facility policies and Work Health & Safety requirements at all times
What We’re Looking For
- Previous experience in a reception, front-of-house or administrative support role (highly desirable)
- Experience in aged care, healthcare or a similar regulated environment (advantageous)
- Solid proficiency in Microsoft Office (Word, Excel, Outlook) and ability to learn new systems
- Excellent interpersonal and customer service skills – you will be the face of Wongaburra
- Clear, professional verbal and written communication
- Strong organisational skills, attention to detail and the ability to prioritise and multi-task
- Calm, composed approach when handling busy or difficult situations
- High level of discretion and confidentiality
- Current police check (or ability to obtain one) in accordance with Wongaburra policy
