Formee Holdings is a Melbourne-headquartered multi-sector group building brands across education technology, education delivery, consumer services and related businesses. We operate with teams in Australia, the USA, the UK, Malaysia, China, India and other markets. Our brands include Formee Express, Formee Education, Tela Mela and support for SCEI / SCEI-HE as directed.
The Founder & Director works across commercial, education, property and stakeholder matters. He needs a high-trust Personal Assistant in Australia who keeps people, diary, communications and day-to-day operational detail moving calmly, discreetly and ahead of the curve.
About the role
This is a hands-on Personal Assistant role based in Melbourne. You will be the Director's right hand in Australia: managing stakeholders, emails and appointments; driving the Director to meetings in a company car; and looking after small company-related office and infrastructure needs.
The right person is organised, discreet, proactive and comfortable in a fast-moving, founder-led environment. You will work closely with the Director and with teams across Formee Holdings and related entities.
What you will do
- Be the first point of contact for the Director's Australian stakeholders (teams, partners, advisors, suppliers and commercial contacts)
- Coordinate communications across Formee Holdings, Formee Express, Formee Education, Tela Mela, SCEI / SCEI-HE and related entities as directed
- Prepare briefing notes, talking points and transparent follow-up actions after meetings
- Track open actions and chase responses so nothing drops
2. Email and communications
- Monitor, triage and prioritise the Director's inbox (and authorised shared mailboxes)
- Draft professional emails in the Director's voice for his review and approval
- Handle confidential correspondence with absolute discretion
- Keep emails, attachments and related files organised and easy to retrieve
3. Diary and appointments
- Own the Director's calendar - schedule, reschedule and protect focus time
- Coordinate meetings across Australian and international time zones
- Ensure papers, agendas and documents are ready before every appointment
- Take accurate notes and circulate action lists promptly
- Arrange flights, hotels and transfers when appointments require travel
4. Driving and in-person support
- Hold a current full Australian driver's licence (essential)
- Drive the Director to and from appointments in a company vehicle
- Plan routes, parking and timing so the Director arrives on time
- Keep the company car clean, fuelled and service/booking records in order
- Provide discreet on-the-day support at meetings and events as required
5. Office, facilities and light infrastructure
- Coordinate day-to-day office and facilities needs (vendors, cleaners, supplies, access, minor repairs)
- Liaise with building management, IT and suppliers on phones, internet, printers, keys, access cards and equipment
- Track and elevate building, parking, utilities and vendor issues until resolved
- Support printing, signing packs, courier, scanning and return of originals
- Help with light project admin linked to the Director's priorities (property, education, corporate and travel packs)
6. Travel, visas and logistics
- Arrange domestic and international travel, accommodation and itineraries
- Support visa, ESTA and related travel documents for the Director and family when directed
7. Documents and confidentiality
- Prepare, format and proofread letters, proposals,
briefing packs and presentations
- Manage confidential files, contracts and Director-related records
- Coordinate signature requests and document version control
- Conduct light research and prepare short briefings for decisions
What success looks like
- The Director's diary and inbox are under control every day
- Stakeholders receive timely, professional responses
- Appointments run on time - papers ready, transport arranged
- Small office and infrastructure issues are fixed without the Director chasing
- Confidentiality is absolute; judgement stays sound under pressure
What you need
- Proven experience as a Personal Assistant, Executive Assistant or similar (ideally supporting a Director or Founder)
- Excellent written and spoken English, with confidence drafting professional emails
- Strong calendar, inbox and stakeholder management skills
- Current full Australian driver's licence and willingness to drive a company car (essential)
- High discretion with confidential and commercially sensitive information
- Proficient in Microsoft 365 (Outlook, Word, Excel, PowerPoint, Teams); comfortable with Google Workspace
- Proactive, calm under pressure, and able to prioritise without constant instruction
- Right to work in Australia
- Experience in education, EdTech, multi-entity groups or founder-led businesses
- Experience coordinating travel, visas and multi-city diaries
- Familiarity with Melbourne CBD / North Melbourne logistics and parking
- Experience preparing meeting packs and board-style document sets
- Based in Melbourne - primarily on-site with the Director
- Company car provided for business use linked to appointments and Director support
- May include early starts, after-hours support and occasional interstate travel
- Flexibility around the Director's diary and travel between Australia and overseas
