About the project

Astec Equipment Services is relocating its entire operation from Redan to Wendouree and we are seeking an experienced Project Manager to take responsibility for planning and delivering the relocation from start to finish.

Astec is an established Ballarat business employing approximately 25 people and providing assistive technology, mobility equipment, equipment servicing, customisation and related services to the disability, aged care, health and community sectors.

This is a genuine end-to-end commercial relocation project involving offices, workshop operations, stock, equipment, vehicles and staff.

About the role

Reporting directly to the General Manager, you will take ownership of the relocation project and coordinate all aspects of the move.

Your responsibilities will include:

- Developing and managing a comprehensive relocation project plan and timetable

- Identifying all activities, dependencies, risks and critical deadlines

- Coordinating the preparation and fit-out of the new premises

- Liaising with landlords, contractors, trades, suppliers and service providers

- Coordinating IT, telecommunications, internet, security, utilities and other essential services

- Planning the movement of office furniture, workshop equipment, stock and specialist equipment

- Coordinating removalists, transport providers and specialist equipment movers

- Planning the relocation of vehicles and trailers

- Managing staff communication and involvement throughout the project

- Developing an appropriate packing, labelling, inventory and relocation system

- Ensuring business-critical equipment and stock are prioritised





- Managing the relocation budget and obtaining and assessing quotations

- Identifying and managing WHS and operational risks

- Developing contingency plans to minimise disruption to customers and operations

- Coordinating the actual move, including the move weekend if required

- Ensuring the new premises are fully operational before staff return

- Managing post-move issues and completing the project close-out

The successful applicant will be expected to actively manage and drive the project , rather than simply provide advice.

About you

We are looking for an experienced Project Manager who can demonstrate:

- Proven experience managing commercial/business relocations

- Strong project planning and organisational skills

- Experience coordinating multiple contractors and suppliers

- Excellent communication and stakeholder-management skills

- Strong attention to detail

- The ability to manage budgets, quotations, schedules and deadlines

- Practical problem-solving skills and the ability to anticipate issues before they occur

- The confidence to take ownership and make things happen

- Experience with office, warehouse, workshop, manufacturing or similar commercial environments would be highly regarded

Experience coordinating the relocation of workshop equipment, machinery, stock or specialist equipment would be particularly advantageous.





This is not a desk-only project

The successful person will need to be comfortable getting involved in the detail.

You will be required to walk through both premises, understand how Astec operates, determine what needs to move, what needs to be disconnected/reconnected, what needs to be replaced or upgraded, and then coordinate the people and resources required to make it happen.

You will be the central point of coordination for the relocation .

Contract

This is a short-term project-based contract , with the anticipated engagement being approximately 3-6 months , depending on the agreed relocation timetable and scope.

The exact working arrangement can be negotiated with the successful applicant and may suit an experienced Project Manager seeking a defined project assignment.

We are open to discussing:

- Full-time project engagement

- Part-time/flexible engagement during the planning phase

- A combination of on-site and remote work

- Fixed-term employment or contractor arrangements

Remuneration will be negotiated based on experience and the proposed engagement structure.

Location

Ballarat, Victoria

Regular attendance at both the existing and new Astec premises will be required, particularly as the project progresses.
