Ark Energy is growing, and we are looking for an organised and proactive Business Support Coordinator to help coordinate our offices, business administration and shared executive support.
n
This is a broad and diverse role for someone who enjoys keeping things organised, improving how work gets done and supporting people across a busy, growing organisation.
n
About the Role
n
Based in Brisbane, the Business Support Coordinator will coordinate day-to-day office operations, business and financial administration, corporate events and shared administrative support for the Chief Executive Officer, Chief Financial Officer and People, Performance & Culture function.
n
While primarily supporting the Brisbane office, you will also coordinate workplace and administrative requirements across Ark Energy’s other locations, helping provide a consistent, efficient and professional experience across the business.
n
Key Responsibilities
n
Your responsibilities will include:
n
n
- Coordinating the day-to-day operation of Ark Energy’s offices and ensuring workplaces are organised, functional and appropriately resourced.
n
- Managing office supplies, equipment, stationery, workplace consumables and office-related services.
n
- Coordinating building access, security passes, visitors, meeting rooms and workplace inductions.
n
- Liaising with landlords, building management, suppliers and service providers.
n
- Coordinating office requirements across Brisbane, Sydney, Townsville and other Ark Energy locations.
n
- Preparing and formatting reports, presentations, correspondence and other business documentation.
n
- Maintaining corporate records, registers, filing systems and administrative databases.
n
- Administering supplier accounts, recurring invoices,
expense activities and relevant executive credit card reconciliations.
n
- Supporting procurement and supplier coordination where required.
n
- Coordinating calendars, meetings, appointments, travel, accommodation and visitor arrangements.
n
- Preparing meeting agendas and materials, and monitoring agreed actions where required.
n
- Providing administrative coordination for PPC activities, events and business initiatives.
n
- Coordinating internal meetings, leadership forums, workshops, employee activities and corporate events.
n
- Identifying opportunities to simplify and improve business administration processes across Ark Energy.
n

What You’ll Bring
n
You will be an organised and dependable administration professional who is comfortable managing multiple priorities and working with stakeholders across different areas of the business.
n
To help you succeed in this role, you will have:
n
n
- At least five years’ experience in an administrative, business support or office coordination role.
n
- Strong organisational and time-management skills.
n
- Excellent written and verbal communication skills.
n
- Strong attention to detail and practical problem-solving capability.
n
- Experience coordinating meetings, workplace activities or corporate events.
n
- Confidence preparing professional reports, presentations and business correspondence.
n
- Proficiency in Microsoft Word, Excel, PowerPoint and Outlook.
n
- The ability to work autonomously while contributing positively as part of a broader team.
n
- Sound judgement and the ability to manage confidential information professionally.
n
- A qualification in business administration, management or a related field would be advantageous.
n
- Ability to work in the Brisbane office 4 days per week
n
