We specialise in building and construction, civil construction, horticulture and landscape, as well as a range of industry-specific licences, tickets and short courses. About the role

We are seeking a Qualification Administration Specialist to join our team on a full-time basis at our Coopers Plains, QLD 4108 location. In this role, you will be responsible for coordinating and administering qualification-related processes and records, ensuring accuracy, compliance, and efficiency across all administrative functions. This position is integral to our operations, supporting the organisation's commitment to maintaining the highest standards of qualification processing and documentation.

Key responsibilities

Respond to stakeholder communications about program/course requirements (including face‑to‑face, phone and email).

Process student enrolments, ensuring all information is obtained (e.g. USI, LUI).

Collate student records and ensure they are correctly completed (e.g. enrolment, funding eligibility evidence, completed student assessments).

Enter results onto the Student Management System and issue student certification upon completion.





File and archive records in accordance with organisational procedures – including:

o Preparing and scanning training records for electronic storage (e.g. SharePoint)

o Archiving closed student files

Invoice stakeholders, when requested.

What we"re looking for

Proven experience in an administrative support role, with a focus on record management or document processing

Strong organisational and time management skills, with the ability to complete multiple tasks efficiently

Excellent attention to detail and commitment to accuracy in all administrative work

Proficiency with Microsoft Office applications and database management systems

Strong communication skills, both written and verbal, with the ability to liaise effectively with colleagues and external contacts

Ability to work both independently and as part of a collaborative team setting

Knowledge of administrative best practices and compliance requirements

Working in a previous RTO role is desired
