About the Role

Our patients come to us at a turning point - living with missing teeth, failing dental work, or a smile they've hidden for years.

Receptionist Responsibilities

- Welcoming patients and making them feel comfortable, cared for, and confident from the moment they arrive

- Managing appointments, phone calls, and emails with professionalism, warmth, and attention to detail

- Coordinating with dentists, hygienists, and nurses to keep schedules running smoothly and on time

- Handling administrative tasks, including patient records, data entry, correspondence, and filing

- Processing payments, invoices, and health fund claims accurately and efficiently

- Maintaining accurate patient information within the practice management system

- Supporting day-to-day practice operations, including scanning, documentation, and general office duties

- Staying positive, organised, and calm, even during busy periods

- Taking ownership of the front desk and patient experience, ensuring a consistently high standard of service

Patient Coordinator Responsibilities

- The first voice that reassures them

- The face that welcomes them

- The guide who walks them through treatment and investment decisions

You will own the patient journey end-to-end - from initial enquiry through to post-surgery follow-up. Your ability to build trust, communicate value,



and confidently guide patients through high-value treatment decisions is what drives success in this role.

Key Responsibilities as a Patient Coordinator

- Convert inbound enquiries into booked consultations through structured, high-quality conversations

- Present treatment plans, fees, and finance options (Humm, Zip, super release, payment plans) with confidence

- Guide patients through hesitation and decision-making with clarity, not pressure

- Coordinate complex treatment cases (IV sedation, GA, lab timelines, surgical schedules)

- Manage and maintain a clean, active CRM pipeline

- Act as the key point of contact between patients, clinicians, and the front-of-house team

About You

You're a strong communicator who builds trust quickly and genuinely enjoys helping people navigate important decisions.

- Experience in sales or consultative roles (healthcare, aesthetics, property, hospitality, or similar)

- Confidence discussing fees, finance, and closing decisions

- High emotional intelligence - you adapt your communication style with ease

- Solid organisation and follow-through - nothing slips through the cracks

- A genuine interest in healthcare and patient outcomes

Dental experience is not required - we'll teach you everything you need to know.
