Our field team keeps growing, and we're rebuilding the office side to match. We're looking for a Service Operations Coordinator to help run the engine room of our service department.

Key Responsibilities:

n

n
- Managing inbound calls and booking service jobs
n
- Scheduling and dispatching technicians, ensuring efficient daily runs
n
- Adjusting schedules in real time to manage breakdowns, delays and changes
n
- Managing customer communication (phone, SMS, email) including updates, timeframes and expectations
n
- Raising and processing purchase orders
n
- Following up parts that haven't arrived, keeping customers informed, and rebooking jobs once parts land
n
- Chasing technicians for missing job information and making sure it's captured properly
n
- Closing jobs out, checking labour, parts, compliance forms and job details are complete and correct, so every job is ready to invoice
n
- Keeping all jobs accurately updated in our Job Management System, AroFlo
n
- Working alongside our other Coordinators, sharing one anothers knowledge
n

What we need from you:

n

- Strong communication skills and a confident phone manner
n
- Ability to multitask and stay organised in a fast-paced environment
n
- Calm under pressure and able to think on your feet
n
- High attention to detail. A big part of this role is spotting what's missing or wrong before it becomes a problem
n
- Follow-through. You're the sort of person who doesn't let something sit
n
- Experience in scheduling, dispatch, service coordination or trade administration (preferred but not essential)
n
- A proactive, can-do attitude and team mindset
n
- Ability to prioritise and manage competing demands throughout the day
n
- Reliability, accountability, and ownership of your role
n
