The Executive Operations Coordinator works directly with the Chief Operating Officer across the Group's property development, construction, building management and real estate operations.
The role acts as a central point of coordination for the COO, completing high level administration tasks, monitoring progress across operational initiatives, driving follow-up on deadlines and outstanding actions across departments.
This is a highly organised, proactive role requiring strong common sense, excellent administration skills, a positive "yes" attitude and the ability to research, learn and solve problems independently.
Key Responsibilities
- Provide high-level administrative support across development, construction, building management, property management and real estate activities.
- Prepare correspondence, reports, spreadsheets, registers and documentation.
- Manage and maintain a live action list for the COO and delegated tasks.
- Monitor progress on operational initiatives, follow up on deadlines across departments, and help flag administrative bottlenecks
- Demonstrate an ability to work out what needs to be done even when the answer is not immediately known.
- Complete, issue and manage contract of sale documentation, including liaison with buyers, solicitors and internal stakeholders.
- Coordinate with staff, consultants, contractors, lawyers, accountants and external parties.
- Ensure documents, records and action lists remain accurate and current.
- Work confidently across Microsoft Office, Adobe suite and other business software,
with the ability to quickly learn new systems and programs as required.
Key Skills & Attributes
- Minimum 4 years' experience in a high-level administrative, executive support or operations coordination role.
- Experience within property development, construction, real estate or building management is highly regarded.
- Exceptional organisation, administration and attention to detail.
- Strong common sense, initiative and practical problem-solving ability.
- Highly proactive with excellent follow-up skills and a strong focus on completing tasks.
- Comfortable managing multiple priorities in a quick-paced environment.
- Strong research skills and the ability to quickly learn unfamiliar subject matter, systems and software.
- Excellent written and verbal communication skills.
- Confident dealing with senior management, consultants, contractors, solicitors, buyers and other external stakeholders.
- Advanced Microsoft Office skills, with experience using Adobe Creative Suite and other document or design software highly regarded.
- Positive, solutions-focused attitude with a willingness to take ownership and get things done.
