Senior Executive Assistant to the CEO & Leadership Team

Provide exceptional, proactive executive support to the CEO and leadership team, ensuring their time, travel, meetings and business commitments are organised and managed effectively.

The role requires someone who thinks ahead, takes ownership and follows through without repeated direction. The Executive Assistant will ensure executives arrive at meetings fully briefed, travel arrangements are complete and practical, and decisions and commitments translate into timely action.

Manage the CEO’s diary and coordinate leadership team commitments, balancing business priorities, meetings, travel, preparation time and deadlines.

Maintain a forward view of upcoming commitments, identify scheduling conflicts early and resolve them before they become problems. Protect time for important work and ensure schedules allow realistic travel and preparation time.

Provide a clear daily schedule and a weekly look-ahead covering upcoming meetings, travel, deadlines, outstanding decisions and matters requiring attention.

Take end to end ownership of travel arrangements for the CEO and relevant team members, including flights, accommodation, airport transfers, ground transport and multi city itineraries.

Coordinate travel documentation and visa requirements where applicable, check time zones and connection times, and ensure bookings reflect individual preferences, business requirements and approved budgets.

Prepare a complete, easily accessible itinerary containing booking references, meeting locations, transport arrangements and key contacts. Reconfirm important arrangements before departure and proactively manage cancellations, delays and itinerary changes.

Coordinate group travel so that team members understand where they need to be, when they need to be there and how they are getting there.

Ensure the CEO and relevant team members are properly prepared for every substantive business meeting.

Prepare concise briefing notes covering who is attending, their roles and relevant backgrounds, the organisation,



its relationship with Victory Metals and previous discussions and the meeting’s purpose, key talking points, outstanding commitments and intended outcome.

Coordinate agendas, presentations and supporting documents with the appropriate team members. Confirm attendance, meeting locations, video links and any logistical requirements.

Briefing material should ordinarily be available at least one business day before a scheduled meeting, with shorter-turnaround meetings managed as required.

Attend meetings where required and prepare accurate, concise records of key discussions, decisions and agreed actions. Where not attending, obtain the necessary outcomes from participants and coordinate follow up.

Follow up outstanding commitments, prepare correspondence for approval and escalate overdue or significant matters. Ensure previous actions are reviewed before subsequent meetings.

Manage delegated correspondence and inbox activity, identify priority matters and prepare professional responses for approval where required.

Act as a reliable point of contact for investors, business partners, government representatives, advisers, service providers and other stakeholders.

Exercise discretion and sound judgement, communicating and making commitments only within delegated authority.

Coordinate agreed executive support requirements across the leadership team, including meeting schedules, travel, document preparation, expenses and shared deadlines.

Assist with formatting and coordinating presentations, reports and correspondence.

The role is Perth based, full time position. The role requires reasonable flexibility during international travel and time sensitive business matters.
