Hays is seeking a motivated and adaptable Project Support Officer to join a collaborative team supporting the delivery of major programs and strategic projects. This is an excellent opportunity for an organised administrator with project support experience who enjoys working in a fast-paced environment where priorities can shift and no two days are the same.
This role will provide hands-on support to project leaders and stakeholders, assisting with project administration, meeting coordination, reporting, document management, and stakeholder engagement.
Your new role
Working within a high-performing project environment, your responsibilities will include:
- Providing project, administrative and financial support across a range of projects and initiatives
- Coordinating meetings, workshops and stakeholder forums
- Preparing agendas, supporting documentation and action registers
- Taking meeting notes and following up outstanding actions
- Maintaining project documentation, records and document control systems
- Assisting with project reporting, status updates and project tracking activities
- Formatting reports, presentations and project documentation
- Conducting research, gathering information and assisting with analysis of project-related issues
- Supporting project planning, monitoring and delivery activities
- Building and maintaining strong working relationships with internal and external stakeholders
- Ensuring project records are maintained accurately and in accordance with established processes
- Providing general administrative support to project teams as required
What you'll need to succeed
To be successful, you will demonstrate:
- Previous experience in a Project Support Officer, Project Administrator, Team Coordinator or similar role
- Experience providing administration and coordination support within a project, program or corporate workplace
- Solid organisational skills with the ability to manage competing priorities
- Excellent written communication skills and experience preparing reports, correspondence and project documentation
- Strong stakeholder engagement and interpersonal skills
- Sound research and problem-solving capabilities
- High attention to detail and commitment to quality outcomes
- Proficiency across the Microsoft Office Suite, including Word, Excel, Outlook and PowerPoint
- Experience working with document control or records management systems
Highly regarded:
- Previous State Government experience
- Exposure to major infrastructure, program delivery or project environments
- Experience using systems such as Objective, Aconex or similar document management platforms
