About the Role:
IntoJobs is seeking a highly organised and detail-oriented Program Support Officer to support the administrative and compliant delivery of our Self-Employment Assistance (SEA) and Career Transition Assistance (CTA) programs. This role is ideal for someone who enjoys working in a fast-paced environment and takes pride in ensuring program administration, compliance requirements and stakeholder coordination are completed accurately and efficiently.
As a Program Support Officer, you will provide administrative and operational support across SEA and CTA, including participant onboarding, program documentation, compliance activities, reporting, workshop coordination, and record management. Working closely with program staff, DEWR and key stakeholders, you will help ensure programs are delivered smoothly, compliantly, and in line with contractual requirements.

Key Responsibilities:
Customer Experience
· Be the first point of contact for participant enquiries via phone, email and online channels.
· Conduct welcome and outreach calls to support participant engagement.
· Guide participants through program requirements, eligibility and processes.
· Provide professional, responsive and participant-focused customer service.
Program Administration & Coordination
· Coordinate day-to-day administrative activities across SEA and CTA programs.
· Prepare participant documentation, contracts, compliance forms and program resources.
· Support workshop scheduling, participant bookings and appointment coordination.
· Assist trainers, mentors and facilitators with program delivery requirements.
· Manage program inboxes, calendars and general administrative functions.
Compliance & Reporting
· Maintain accurate participant records and data integrity across systems.
· Ensure documentation meets contractual and DEWR requirements.
· Assist with reporting, audits and evidence collection activities.
· Support privacy, information security and quality assurance requirements.
Stakeholder Engagement
· Build positive relationships with internal and external stakeholders.
· Liaise with Contact Centre teams and regional offices to support participant enquiries.
· Assist with stakeholder engagement activities and referral pathways.
· Maintain stakeholder records and provide timely responses to enquiries.
What You’ll Bring

· The ability to work effectively with people from diverse backgrounds and circumstances
· Strong organisational skills with confidence managing administration and reporting
· A results focused mindset and comfort working towards targets
· Experience in employment services (particularly Self-Employment Assistance or Career Transition Assistance, recruitment, community services or a related field (desirable, not essential)
· Intermediate skills in MS Office or similar systems and experience using databases
· A current driver’s licence (where travel is required)
