About the role
We are seeking a Service Administrator to join the Ibis Water team on a full-time, 12+ month contract, based at our Canning Vale, WA location. This is a pivotal role that provides essential support to our operations, ensuring smooth day-to-day functioning, and exceptional customer service delivery. The Service Administrator is instrumental in coordinating services, managing communications, and maintaining accurate records that support our operational excellence.
What you'll be doing
- Processing and managing service requests, enquiries and complaints in a timely and professional manner
- Maintaining accurate and organised records of all service activities, customer interactions and documentation
- Responsible for billing and invoicing processes
- Inputting and updating information in relevant computer systems and databases
- Providing administrative support to the service team, including preparing reports and compiling data
- Managing customer communications via phone, email and other channels to ensure satisfaction and resolve issues promptly
- Liaising between customers and service technicians to ensure clear communication and successful job completion
- Coordinating and scheduling service appointments and maintenance visits for customers
- Assisting with general office duties including filing, photocopying and mail management
- Some warehousing, including forklift operation, for which training will be provided
What we're looking for
- Proven experience working in an administrative or office support role, preferably within a service-oriented environment
- Strong organisational and time management skills with the ability to manage multiple tasks and prioritise effectively
- Excellent communication skills, both written and verbal, with a professional and courteous demeanour
- Proficiency with Microsoft Office applications
- Familiarity with MYOB, or other accounting software, is preferable, but not essential
- Attention to detail and accuracy in record keeping and data entry
- Strong customer service orientation with the ability to handle customer interactions professionally
- Problem-solving ability and a proactive approach to identifying and resolving issues
- Reliability and punctuality with a commitment to meeting deadlines
- A collaborative team player who works well with others and contributes positively to the workplace
