Customer Service Coordinator / Scheduler – HVAC

Cold Front Air Conditioning is a HVAC business operating across SEQ, with almost 50 years in the industry. We're looking for an organised, detail-driven Service Coordinator to take ownership of the daily job flow across our technician and installation teams.

This is a busy, phone-heavy role where your ability to stay on top of multiple moving parts, make decisions and follow through will directly shape how smoothly the business runs day to day.

On a day-to-day basis, you will:

- Manage Podium phones and a fast-paced inbox — this is a customer-facing, phone-heavy role

- Liaise with customers and clients via phone and email, handling bookings and general enquiries

- Schedule and coordinate technician workloads to keep the team running efficiently

- Keep job statuses accurate and current within SIMPRO

- Chase up incomplete or unclear job notes with technicians for quality and accuracy

- Follow up parts, suppliers and outstanding information to keep jobs on track

- Complete daily invoicing





- Keep technicians and office staff on the same page so nothing slips through the cracks

About you:

- Highly organised with strong attention to detail

- Decisive, with the confidence to follow through on your calls

- Able to juggle multiple priorities calmly, even when things get busy

- Reliable, professional and solutions-focused

- A confident communicator, comfortable on the phone with customers and internal teams

- Background in scheduling, coordination or dispatch (HVAC or trades experience highly regarded)

- Familiarity with SIMPRO or similar job management software is a plus
