Due to continued growth across our Defence, Government and commercial projects, we are seeking an organised and proactive Office & Accounts Administrator to join our Canberra team on a part-time basis.

About the Role

As This is a varied, hands-on role supporting the effective day-to-day operation of our Canberra office. You will provide administration and accounts support across the business while helping our senior leadership and project teams stay organised and connected.

You will be a key point of contact for employees, clients, subcontractors, suppliers and visitors. The role would suit someone who enjoys variety, takes pride in keeping things running smoothly and is comfortable working independently in a busy construction environment.

The position is office-based in Canberra, with the working days and hours to be agreed with the successful applicant.

Key Responsibilities

- Support the delivery of our projects

- Provide general office administration and reception support

- Manage incoming calls, correspondence, mail and visitor enquiries

- Check invoices, purchase orders, receipts and supplier statements

- Maintain filing systems, company records, registers and databases

- Order stationery, consumables and other office supplies

- Coordinate meeting rooms, appointments, travel and accommodation





- Prepare correspondence, reports, meeting agendas and minutes

- Maintain company databases

- Provide administrative support to senior leaders and project teams

- Assist with employee onboarding, training records, leave, licences and compliance documentation

- Support company events and other general business activities as required

- Maintain accurate records in Xero including coding of invoices and matching POs and invoices

- Plant/vehicle administration – registrations, servicing, repairs, fuel/toll accounts, registers etc

About You

To be successful in this role, you will ideally possess:

- Previous experience in office administration, accounts administration or a similar business support role

- Experience processing invoices and supporting accounts payable and receivable functions

- Strong organisational skills and the ability to manage competing priorities

- Excellent attention to detail and a high level of accuracy

- Confident written and verbal communication skills

- Strong Microsoft Office skills, including Word, Excel and Outlook

- A professional, approachable and service-focused manner

- The ability to work independently, use initiative and follow tasks through to completion

- Sound judgement when handling confidential or commercially sensitive information

- Experience in construction, civil works, engineering or a project-based environment would be highly regarded

- Experience with Xero would be highly regarded
