Join a well-established, locally operated asphalt and civil construction company based in Wauchope.
We are looking for an experienced and highly organised Office / Administration Manager to take responsibility for the day-to-day administration and coordination of our busy office.
This is a hands-on role suited to someone who enjoys being the person who keeps the business organised, systems running smoothly and the team supported.
About the Role
Working closely with management, supervisors, accounts and field crews, you will oversee a broad range of administrative and office management responsibilities.
Your responsibilities will include:
- Managing the day-to-day operations of the office
- Providing administrative support to management and site supervisors
- Coordinating job paperwork, work orders, purchase orders and documentation
- Managing incoming calls, emails and general enquiries
- Preparing quotations, invoices and other business documentation
- Assisting with accounts payable and receivable
- Maintaining accurate employee, subcontractor and client records
- Coordinating timesheets, leave records and payroll information
- Assisting with scheduling and job coordination
- Maintaining company registers, licences, insurances and compliance documentation
- Supporting WHS and quality documentation
- Liaising with clients, suppliers, subcontractors and employees
- Improving and maintaining office systems and procedures
- General office management and administration as required
We are looking for someone who is organised, reliable and proactive,
with the confidence to take ownership of the administration function.
You will ideally have:
- Previous experience in an office management, administration management or senior administration role
- Strong organisational and time-management skills
- Excellent written and verbal communication
- High attention to detail
- Good computer skills, particularly Microsoft Office and Excel
- Experience with accounting, job management or construction software will be highly regarded
- The ability to manage competing priorities and deadlines
- Confidence communicating with clients, suppliers, trades and management
- A practical, "can-do" attitude
- The ability to work independently while also being an effective team member
- Experience with QuickBooks software desirable but not essential
Experience in construction, civil construction, asphalt, earthworks or a similar industry will be highly regarded, but is not essential.
