Due to continued growth, EIT has an exciting opportunity to join our vibrant team and make a difference in the lives of our students. The Administration Assistant (Higher Education) is responsible for delivering high-quality administrative support to the Higher Education (HE) team and a diverse cohort of domestic and international students.
Based in our Perth office, this fast-paced role requires professionalism, initiative, and excellent communication skills to manage inquiries, maintain records, and ensure the smooth operation of student services and academic processes. The successful candidate will demonstrate a proactive, solutions-oriented approach and be committed to providing an exceptional student experience in compliance with institutional policies and sector regulatory requirements.
Key Responsibilities:
Student Enrolment & Records Management
- Respond to student enquiries related to enrolments, unit selection, fees, study progress, and academic calendars within 48 hours.
- Issue letters of offer, process online acceptances, and liaise with the Admissions team to ensure accurate documentation.
- Process student requests for deferral, withdrawal (unit or course), and study plan adjustments in line with institutional policies.
- Maintain accurate and up-to-date student records in the Student Management System (SMS) and Learning Management System (LMS), ensuring compliance and data integrity.
- Enrol students and update study plans in accordance with progression rules and timelines.
Academic Administration
- In collaboration with the administration lead, assisting with tutorial scheduling in collaboration with academic staff and address timetable queries.
- Assist with the preparation and processing of examination materials, including invigilation, exam packs, attendance sheets, and IRIS invigilation reviews.
- Support Learning Support Officers (LSOs) during peak times by helping manage attendance records and providing classroom set-up for early morning sessions.
- Process unofficial transcript requests and provide timely responses to student documentation enquiries.
- Prepare and distribute orientation materials for on-campus students each intake period.
- Assist with graduation eligibility checks and prepare completion letters and graduation documentation.
Finance & Payment Coordination
- Monitor outstanding tuition fees and work with the Finance team to follow up on unpaid accounts.
- Assist with resolving enrolment and payment discrepancies within agreed timelines.
Reception & General Campus Support
- Provide reception coverage and welcome students and visitors to the Perth campus.
- Respond to general inquiries and manage front-desk operations as needed.
- Oversee the upkeep of the student services kitchen area to ensure cleanliness and functionality.
- Coordinate outbound post and courier services on behalf of the academic team.
Communication & HE Support
- Monitor shared inboxes and action incoming student enquiries promptly.
- Maintain efficient and professional communication with students and internal stakeholders to ensure timely resolution of issues.
Administrative Support & File Management
- Provide general admin support to the Higher Education team including data entry, scanning, and document filing (e.g., marked assessments).
- Support adherence to administrative workflows and contribute to maintaining consistency across documentation and procedures.
- Assist other departments during high-volume periods or when additional coverage is required.
Process Improvement & Compliance
- Support the implementation of company policies and compliance standards across all workflows.
- Contribute ideas and feedback for continuous improvement of processes and systems.
- Maintain familiarity with institutional and regulatory policies to ensure practices remain compliant with TEQSA, ESOS, and CRICOS requirements.
Professional Development
- Participate in relevant training opportunities and team briefings.
- Engage in at least two formal or informal upskilling activities each year to enhance role effectiveness and stay current with sector practices.
Key Selection Criteria
Essential:
- Excellent written and verbal communication skills with a strong command of professional English.
- Demonstrated experience in high-quality customer service delivery.
- Strong organisational and time management skills, with the ability to prioritise effectively.
- High attention to detail and proven ability to work with data and complex systems.
- Initiative and the ability to work independently as well as collaboratively in a team environment.
- Ability to remain calm and professional under pressure or in response to urgent student needs.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and data management systems.
Desirable:
- Experience working in higher education, particularly in student administration or academic services.
- Familiarity with student management and learning management systems (e.g. Moodle).
- Understanding of the Australian Higher Education sector and regulatory frameworks (e.g., TEQSA, ESOS, CRICOS).
