Electrical Service & Special Contracts Supervisor | CBD Service

Purpose of Position

We seek a highly motivated, passionate and reliable individual to join our CBD Service Office team.

The effective management of CBD Service Supervisory / Project Management tasks that exceeds customer delivery and quality expectations, helps achieve all financial targets and objectives and ensures full compliance to the HSEQ system.

Position Authority

Reporting and providing general business support to the following positions:

1. Operations Manager

2. Legal & HSEQ Manager

3. Service Team Leader(s) as required from time to time

4. Service Electricians

Functional Relationships Internal:

· Operations Manager

· Legal & HSEQ Manager

· Commercial Manager

· Administration staff

· Project Management staff

· Electricians & Other Staff as required

External:

· Property Tenants

· Property Owners

· Property and Facility Management businesses and their appointed delegates

· Product Suppliers & Sub-Contractors

· Builders, Commercial Agents, Suppliers

· Site Personnel

Responsibilities / Duties

Health and Safety, Environmental and Quality (Systems)

· Participate in nurturing the development of a culture of zero harm.

· Follow all HSEQ procedures and processes and recommend changes where necessary.

· Commit to the effectiveness of the HSEQ system.

· Ensure conformance with the goals and objectives of the HSEQ system and initiatives.

· Assist in general administration duties for business systems, including maintaining and updating databases and registers.

· Assist in maintaining general HSEQ compliance.

· Assist in the implementation of staff training and development needs as required.

Project Administration / Service Supervisor / Service Division

· Assist the Service team to understand and deliver upon all Preventative Maintenance (PM) Contractual requirements.

· Review Service Obligations with managers to understand contract PM requirements, including placing of purchase orders and subcontractor management where required.





· Preparation and management of programs and schedules as per contract requirements.

· Assist in continuously improve systems, processes and procedures.

· Assist in continuously improve revenue, cost and profitability performance.

· Ensure all activities are carried out in accordance with Company Guidelines, Vision, Mission and Value Statements.

Commitment to Customer Service & General Administration

· Build and maintain meaningful relationships with customers and their clients that result in a win / win outcome (where possible).

· Provide feedback to customers when tasks are completed and of any outcomes and recommendations.

Communication with Team

· Develops project / task plan with team.

· Keeps service activities and tasks on schedule.

Documentation within Team

· Assures that all information needed for Service Delivery is obtained and logged / recorded in an accurate and timely manner.

· Ensure that changes are documented and communicated.

· Ensures that all work is tested as per legislative requirements and results saved as per process.

Account Management & Estimating Tasks

· Assist and work on the preparation of proposals, tenders and contracts for submission ($100 - $150,000.00)

· Negotiate proposals and tender contracts (or support negotiation processes) in line with parameters set by the General Manager.

· Prepare customer quotes in accordance with company standards and processes.

· Negotiate and liaise with suppliers to ensure supply as required

Financial & General

· Prepare, implement, analyse and report on service contract budgets, productivity and cost controls.
Maintain close control over labour costs and staffing.

· Ensure each service and any other applicable contract and project is delivered to meet or exceed budgeted requirements in terms of costs and margins.

· Complete project and service contract forecast and sanity checks being aware of production rates, current issues.

· Client invoicing and follow up payments as required.

· Assist with maintaining and developing workplace standards and policies including industrial, WHS, environmental, legal, statutory and contractual requirements

· Ensure all activities are carried out in accordance with Company Guidelines, Mission and Value Statements

· Ensure conformance to quality standards as set down in company manual

· Ensure customer service and satisfaction in line with customer KPI’s

· Ensure labour management, scheduling and labour utilisation are efficient

Small Project/ Minor Work Contract Management

· Attend major current project/contract hand over meetings.

· Understand contract requirements.

· Review projects with Supervisors and Forepersons prior to commencement.





· Understand contract risks including safety and monitor deviations from scope.

· Ensure project/contract plans will meet client expectations and make changes where necessary.

· Effectively plan and monitor projects.

· Regularly review projects/contracts to ensure conformance to technical, financial and client requirements.

· Proactively manage and support staff in pursuit of project/contract activities and make changes where necessary.

· Assist with any design activities.

· Actively support clients in achieving cost effective, timely outcomes to projects.

· Continuously improve systems, processes and procedures.

· Continuously improving revenue, cost and profitability performance.

· Review all projects/contracts with Manager upon completion.

· Provide Post Tender Contract Management to projects and contracts performance.

· Ensure all activities are carried out in accordance with Company Guidelines, Vision, Mission and Value Statements.

Procurement

· Research material, supplies and equipment as required.

· Maintain project / task inventory as required.

· Ensure all paperwork is monitored and maintained in the appropriate manner.

· Liaise and develop relations with major vendors and suppliers.

· Ensure all stock is purchased and expedited to meet project/contract completion dates.

· Approve purchase of major project/contract items and materials.

· Maintain stock at pre-agreed levels.

· Negotiate material prices with suppliers and maximize purchasing power.

Variations

· Price, review and approve all variations.

· Approve variations prior to submission to clients.

· Support Manager in negotiation with clients of variations in dispute.

Essential Competencies

· Ability to comply with all company policies, procedures and practices as provided.

· Be adaptive and reliable across all type of Construction Management roles.

· A strong focus on workplace health and safety, quality and a commitment to supporting the organisations environmental initiatives and approaches.

· Ability to work in a wide range of workplaces including active facilities and construction sites.

· Knowledge and extensive understanding of relevant compliance requirements and AS/NZ Standards as required.

· Able to work on a number of jobs at the one time.

· Strong interpersonal and communication skills, both verbal and written.

· Extensive computer skills.

· Ability to work independently or in teams.

· Applicants will be expected to plan, coordinated and attend critical Power Shut Downs (after hours).

· Strong Electrical installation, design & commissioning knowledge.

Remuneration

· To be negotiated with the appropriate and suitable candidate.

This is a NON-EBA (salary) position.
