Do you enjoy creating order, ensuring information is accurate, and helping teams operate efficiently? We are looking for a proactive Administration Assistant to join our Homelessness Services team and play a vital role in supporting services that make a positive difference in our community.
About the Role
- Permanent Part-time, 30.4 hours per week (flexibility with work days and hours)
- Highgate location
Reporting to the Manager Homelessness Services, the Administration Assistant provides professional and confidential administrative support to ensure the smooth and efficient operation of homelessness programs within Specialist Community Services. The role also provides administrative support to the coordinators of each Homelessness service.
This is more than an administration role, you will play a vital part in supporting services that help people experiencing homelessness and housing insecurity. Your organisational skills, attention to detail and ability to keep systems running smoothly will directly contribute to the effective delivery of services to some of the most vulnerable members of our community.
Key Responsibilities
- Maintaining files and documentation in accordance with established procedures
- Assisting with document formatting, filing and version updates in accordance with established Document Control processes.
- Maintaining and updating Service Registers and Plans through timely and accurate data entry.
- Maintaining spreadsheets, registers and tracking tools as required through timely and accurate data entry. Creation of new basic spreadsheets (such as tracking registers) as required.
- Producing standard reports from databases using established templates, as requested by management
- Formatting procedures and documents, and preparing or updating forms using approved templates and Society guidelines, as required.
- Providing administration support for meetings, including preparing agendas, scheduling and invitations, minute-taking, coordinating room bookings etc.
- Setting up and supporting online meetings (Zoom/Teams)
- Assisting with staff training administration: maintaining attendance databases, coordinating catering, managing room bookings, sending communications
About You
You are a reliable and organised administrator with excellent attention to detail and the ability to manage competing priorities. You enjoy working with systems and processes, communicate effectively and take pride in delivering high-quality administrative support. You will have:
- Experience in an administrative support role.
- Robust data entry, record-keeping and document management skills.
- Empathetic, non‑judgemental attitude toward people experiencing homelessness, trauma or disadvantage
- Ability to recognise commercially sensitive information and maintain appropriate levels of privacy and confidentiality
- Ability to work independently with minimal supervision
- Experience with video conferencing platforms (Teams, Zoom) and presentation technology
- Experience with data entry and client management systems
- Proficient in the use of Microsoft Office Suite (Word, Outlook, PowerPoint, Excel, Publisher, Teams)
