About the Role

As a Building & Maintenance Administrator, you will provide essential administrative and coordination support to ensure the smooth delivery of building and maintenance operations. Working closely with Supervisors, Construction Managers, and internal stakeholders, you will manage documentation, maintain schedules and records, coordinate maintenance activities, and support the timely completion of operational tasks.

This role is suited to a highly organised professional with strong communication skills, attention to detail, and a proactive approach to supporting team and business objectives.

Key Responsibilities

- Provide professional administrative support to the Building & Maintenance team, including Supervisors and Construction Managers.
- Coordinate and support day-to-day operational activities to ensure efficient service delivery.
- Prepare, process, and maintain administrative documentation, reports, correspondence, and meeting records.
- Maintain accurate records, registers, tracking systems, and project information.
- Update and monitor maintenance schedules, action lists, and reporting registers to ensure information remains current.
- Coordinate inspections, maintenance works, and service requests to support operational outcomes.
- Monitor outstanding actions and follow up with relevant stakeholders to ensure timely completion.
- Liaise with internal departments to facilitate effective communication and meet required deadlines.
- Ensure all documentation is filed, maintained, and managed in accordance with company policies and procedures.
- Contribute to continuous improvement initiatives by identifying opportunities to enhance administrative processes and systems.

What You’ll Bring

- Previous experience in an administrative, team support,



or coordination role.
- Strong organisational and time management skills, with the ability to manage multiple priorities and meet deadlines.
- Excellent attention to detail and a commitment to maintaining accurate records and documentation.
- Well-developed written and verbal communication skills with the ability to engage effectively with a variety of stakeholders.
- Strong customer service skills and the ability to build and maintain positive working relationships.
- Proficiency in Microsoft Office applications, including Outlook, Word, and Excel.
- The ability to work collaboratively in a fast-paced team environment while also working independently when required.
- A proactive approach to problem-solving, with the initiative to identify issues and implement practical solutions.
