Administration Manager
Private Advertiser - High Volume Hospitality Venue
An opportunity is available for an experienced Administration Manager to join a large, high volume hospitality venue in Perth, run by a Large Family Group Operator with years of experience running multiple venues in Western Australia.
The venue operates across multiple departments and revenue streams, creating a busy and varied working environment that requires strong organisation, accuracy and communication. We are looking for an experienced administrative skilled who is comfortable taking ownership of the day to day administrative requirements of a complex hospitality operation.
This is a full time position reporting directly to the Venue Manager, while also working closely with the Finance and Head Office teams.
The successful applicant will be highly organised, commercially aware and confident working independently. You will need excellent attention to detail, the ability to prioritise competing responsibilities and a mindset focused on identifying solutions and improving processes. THE ROLE
The Administration Manager plays an important part in keeping the venue organised, compliant and financially accurate.
Responsibilities will include:
Cash Management and Reconciliation
• Daily reconciliation of venue takings, including confidence in cash counting
• Preparation and management of venue banking
• Management and balancing of venue floats and safe funds
• Reconciliation of Point of Sale reports against banking and venue records
• Investigation and reporting of cash or reconciliation discrepancies
• Working with management to identify and resolve recurring variances
Accounts and Invoice Administration
• Reviewing,
processing and maintaining supplier invoices, credits and delivery documentation
• Assisting with accounts payable processes and supplier queries
• Working with department managers to ensure receiving and invoice procedures are completed correctly
• Identifying documentation or procedural errors and following these through with the relevant department
• Maintaining clear and accessible financial records for venue management and Head Office
Venue Administration
• Reviewing voids, discounts and other transaction exceptions
• Managing venue credit card documentation and ensuring supporting receipts are collected
• Maintaining records relating to licences, compliance requirements and venue administration
• Preparing regular operational and administrative reporting
• Managing venue keys, security access and staff access records
• Maintaining organised electronic filing systems and shared documentation
• Responding to administrative requests from venue management and Support Office
• Supporting reconciliation and administration across the venue's different departments
• Assisting with general governance and administrative requirements
• Completing additional administrative projects as required by the Venue Manager
People Administration
• Maintaining confidential and well organised employee records
• Assisting management with relevant employee documentation and administration
• Ensuring sensitive information is stored securely and appropriately
ABOUT YOU
We are looking for someone with strong administration and financial processing experience who enjoys working in a busy operational environment.
The ideal candidate will have:
• At least three years of experience in an administration, accounts or office management position
• Strong experience with accounts payable and financial administration
• Advanced confidence using computers and business systems
• Strong Microsoft Excel, Word and email skills
• Experience using Xero or similar accounting software
• Experience with hospitality Point of Sale system would be highly regarded
• Excellent written and verbal communication skills
• Strong attention to detail and accuracy
• The ability to manage deadlines and competing priorities
• Confidence working independently and taking ownership of responsibilities
• The ability to remain organised in a fast paced and demanding environment
• Experience working within hospitality, hotels, pubs, accommodation, retail or another multi department business would be highly regarded
• Valid Australian working rights
