Client Details
Our client is a leading global shipping company providing international and domestic transportation services.
They are seeking a Customer Service Coordinator to join their Melbourne-based operations team. The successful candidate will support the importation and onward domestic transportation of vehicles while coordinating with automotive companies, transport providers, port service providers and other stakeholders.
This is a part-time position working three days per week. Hybrid working arrangements may be available once the successful candidate has settled into the role.
Responsibilities
The key responsibilities and duties of the role include:
- Manage pre-arrival import formalities, including customs and port submissions and required system updates
- Review and update bills of lading, freight details and applicable charges
- Prepare arrival notices, cargo release documents and other import paperwork in line with payment and credit requirements
- Arrange Under Bond and Coastal documentation when required
- Coordinate the onward transportation of imported vehicles within Australia
- Liaise with OEM automotive customers, transport providers, port service providers and internal teams
- Coordinate vehicle loading and unloading arrangements with relevant service providers
- Prepare and manage invoices relating to freight, domestic transportation and cargo handling charges
- Arrange and process payments to transport and stevedoring service providers
- Compile cargo information for payment, cost-recovery and reporting purposes
- Maintain accurate customer, operational and financial records
- Monitor shipments and follow up on missing information or outstanding documentation
- Assist with general customer service, administrative and operational duties
- Perform other ad hoc duties as required by the business
Your Profile
This opportunity may suit someone with customer service, administration, coordination or logistics experience who is comfortable working with detailed information and established procedures.
The ideal candidate will bring a combination of the following skills and experience:
- Previous experience in shipping, logistics, operations or administration will be highly regarded but is not essential
- Clear and professional communication skills
- Strong organisational and time-management abilities
- High attention to detail and accuracy
- Confidence working with invoices, charges and operational documentation
- Ability to manage multiple requests, priorities and deadlines
- A proactive and reliable approach to work
- Practical problem-solving skills
- Ability to work collaboratively with internal and external stakeholders
- Confidence using systems and learning recent processes
- Availability to commence at short notice will be highly regarded
