About the Role
To provide administrative support within the Planning,
Building and Development Services Team by assisting with customer requests,
processing planning, building and plumbing development applications and
correspondence, maintaining records and information databases.
Key Responsibilities
Planning, Building and Plumbing and Development Compliance
Receive,
monitor and process over the counter, written and telephone enquiries,
complaints and applications relating to the functions of the team and provide informed advice.
Compile
and record development applications and approvals in print and electronic
formats, including entry of current and historical records in Council databases.
Maintain
a high level of confidentiality in the handling of all applications, enquiries
and complaints.
Provide
administrative support to the team,



including processing correspondence,
reports, notices and other documentation.
Prepare
statutory notices and correspondence relating to the functions of the team.
Arrange
meetings and inspections relating to the team's functions.
Assist
with the investigation of complaints and ongoing compliance matters, including
inputting and maintaining information in Council registers and compliance files.
Assist
with the implementation of audits, campaigns and programs, including media communications,
scheduling inspections and reporting activities.
Assist
with the upkeep, improvement and implementation of Council's information
resources, including factsheets, guidelines, website information, media
communications and policy development.
Process
application fees and refunds relating to relevant applications.
Support
and assist the team with the completion of strategic projects.
Customer Service
Provide
high quality, proactive customer service for internal and external Council
customers via phone, email and in person.
Enter
customer requests received via telephone, email and in person and monitor and
update with actions taken as required.
Liaise
with customers to provide updates and seek additional information where
required.
Monitor
progress reports and assist the department with responding to and "closing out'
customer requests.
Maintain
accurate records of customer requests within Council's Customer Request System.
Administration Functions
Prepare
and review a wide range of documents including reports, correspondence, forms
and flyers as required by the department.
Assist




in the creation and maintenance of files whether electronic and/or hardcopy to
ensure full audit compliance.
Provide
courteous and efficient administrative service to internal and external
customers.
Research
and collate information, undertake legislative searches and compile data and
statistics.
Assist
with the coordination and preparation of meetings and recording minutes.
Contribute
to the maintenance of Council's business systems including but not limited to
Authority and Council's record management system.
Perform administrative
tasks to support departmental:
o Workload scheduling
(maintaining & updating calendars, meeting requests etc.)
o Resourcing, including
Departmental budget (requisitions and payments)
Monitor
and review Council Resolution correspondence and Action Status and follow up on
outstanding items as directed by department leaders.
Assist
with project administration as required by department leaders.
