The Office Administrator & Bookkeeper is responsible for the day-to-day administration and financial record-keeping of the business. This role supports the Directors and project team by ensuring the office operates efficiently while maintaining accurate financial records, payroll, and administrative systems.
Key ResponsibilitiesOffice Administration
Manage daily office operations and administration.
Answer incoming phone calls and respond to general enquiries.
Manage company emails and correspondence.
Maintain filing systems (electronic and hard copy).
Order office supplies and manage office equipment.
Coordinate meetings and prepare meeting minutes when required.
Assist with travel and accommodation bookings.
Maintain company registers, licences, and insurance records.
Support Directors with administrative tasks.
Bookkeeping
Process supplier invoices and reconcile purchase orders.
Prepare customer invoices and monitor accounts receivable.
Manage accounts payable and supplier payments.
Reconcile bank accounts and company credit cards.
Process employee expense claims.
Maintain accurate accounting records using Xero (or nominated accounting software).
Assist with BAS preparation for the external accountant.
Prepare monthly financial reports for management.
Maintain fixed asset register.
Support annual audit and financial reporting.
Skills & ExperienceEssential
Previous experience in office administration.
Previous bookkeeping experience.
Experience using Xero or similar accounting software.
Solid Microsoft Office skills (Word, Excel, Outlook).
Excellent organisational and time management skills.
High attention to detail.
Solid written and verbal communication skills.
Ability to work independently and manage competing priorities.
