Rugby World Cup Australia is seeking a highly organisedAccommodation Coordinator to play a key role in delivering world-class accommodation services for Rugby World Cup ****.
Based in our Sydney office and reporting into the Accommodation Manager, this role is at the heart of tournament operations, coordinating accommodation requirements for a range of client groups, managing rooming lists and bookings, maintaining accurate data within the Tournament Management System (TMS), and working closely with hotels, suppliers and internal stakeholders to ensure a seamless experience from planning through to delivery.
This is a fantastic opportunity for a highly organised and detail-oriented coordinator who thrives in a fast-paced event environment.
You'll balance multiple priorities across accommodation operations, systems administration, stakeholder engagement and financial processes, while helping to solve problems, drive actions to completion and keep critical deadlines on track.
If you're proactive, enjoy working with complex information and have experience in accommodation, hotel operations or major events, you'll be part of a collaborative team helping to deliver one of the world's biggest sporting events.
Key responsibilities include but are not limited to:
Coordinate the planning and delivery of accommodation services for tournament client groups, ensuring a seamless experience for teams, match officials, workforce and tournament guests.
Manage end to end rooming list operations, including reservations, allocations, updates, special requests, late changes and issue resolution across multiple accommodation providers.




Maintain accurate accommodation data, bookings and reporting within the Tournament Management System (TMS), ensuring data integrity and timely stakeholder communication.
Liaise with hotels, suppliers and internal functional areas to coordinate accommodation logistics, operational requirements, service standards and client-specific needs.
Support key tournament operations by assisting with team requirements, agreements, run sheets, handbooks and cross-functional planning activities.
Administer accommodation-related financial processes, including supplier setup, purchase orders, invoice management, payment tracking, reconciliations and billing issue resolution.
Identify and proactively address risks, discrepancies and operational issues, while supporting continuous improvement initiatives, accommodation workforce training and readiness activities.
Qualifications & Experience
Minimum 3 years' experience in accommodation management, hotel operations, group reservations, event delivery, or a related operational coordination role.
Strong understanding of hotel operations, group booking processes and the delivery requirements of large-scale events.
Advanced proficiency in Microsoft Office, particularly Excel, and experience working with operational systems, databases and large data sets.
Demonstrated experience using event, accommodation or booking platforms such as EventsAIR, Cvent, Swoogo, TMS or similar systems.
Excellent organisational, stakeholder management and communication skills, with the ability to build relationships across multiple teams and suppliers.
Proven ability to manage competing priorities, solve problems proactively and deliver high-quality outcomes within tight deadlines.

Flexibility to work evenings/weekends as required especially at tournament time.
