Senior Administrator / Service SchedulerBuckenara Plumbing, Gas & ElectricalSalary: $75,000 – $85,000 + Super | Full-Time
Buckenara Plumbing, Gas & Electrical is seeking an experienced Senior Administrator / Service Scheduler to join our team and provide high-level administrative and scheduling support across our plumbing and electrical service operations.
This is a key role within our maintenance team, supporting our field technicians and line managers to ensure reactive and routine maintenance works are scheduled, administered and completed efficiently.
Who We're Looking ForOur preference is for someone who has previously worked within a plumbing, electrical, HVAC, fire, facilities maintenance or similar trade services business and understands the fast-paced nature of managing field service work.
Strong SimPRO experience is essential.
We are specifically looking for someone who already understands SimPRO and can confidently work within the system rather than requiring extensive training.
You will ideally have experience managing jobs from initial work order through to scheduling, completion and invoicing.
Key ResponsibilitiesYou will be responsible for:
Managing incoming reactive and routine maintenance work orders from commercial clients
Creating and maintaining jobs and work orders within SimPRO
Scheduling and coordinating plumbers and other field technicians including contractors.
Liaising with customers regarding appointments, access and job progress
Supporting field technicians with information and day-to-day job requirements
Working closely with supervisors and line managers to keep works moving
Monitoring outstanding and incomplete jobs and following them through to completion
Reviewing technician job notes, labour, materials and site photographs
Preparing and processing completed jobs for invoicing
Uploading job notes, photographs,
reports and completion information to client portals
Preparing or coordinating safety documentation where required
Maintaining accurate customer and job information
Assisting with quotes, purchase orders and general service administration
Following up technicians and customers where additional information is required
Providing general administrative support to the maintenance team
What You'll BringTo be successful in this position, you will ideally have:
Strong previous SimPRO experience
Previous experience in a plumbing, electrical or trade services environment
Experience coordinating reactive and routine maintenance
Strong scheduling and job coordination skills
An understanding of work orders and the field service job lifecycle
Excellent organisational and time-management skills
Confidence communicating with tradespeople, supervisors, managers and customers
Solid attention to detail
The ability to manage multiple jobs and competing priorities simultaneously
A proactive approach — identifying what needs to happen next rather than waiting to be asked
Good computer skills and experience working with customer portals and electronic documentation
The RoleThis is not simply a general administration position.
We are looking for someone who understands service and maintenance operations and can become an important support person for our field team and management.
You will play a key role in making sure technicians have the information they need, customers are kept informed, jobs are properly documented, and completed works progress through to invoicing without unnecessary delays.
Salary: $75,000 – $85,000 per annum + superannuation, depending on experience.
