Primary objective

Provide comprehensive executive, administrative and project coordination support to the Project Manager by managing

project workflows, governance, reporting, communication and operational activities. Coordinate and monitor project

activities, deliverables and key actions, while facilitating collaboration between clinical teams, construction contractors and





lived-experience stakeholders to support the planning, commissioning and successful delivery of the Mental Health Build

Commissioning Project.

Context statement

The project involves the construction of a current three-storey Mental Health Inpatient Facility at Royal Darwin Hospital,

designed to deliver a safe, up-to-date and therapeutic environment for patients requiring acute mental health care.

Key duties and responsibilities

1. Provide high-level project support to the Project Manager including arranging meetings, managing project workflows and

outputs, the project’s generic shared mailbox and secretarial support.

1. Demonstrated strong interpersonal skills to interact effectively with a range of stakeholders within and external to

government.

1. Maintain risk logs, issue registers, meeting minutes, and project management tools (e.g., MS Share Point).
2. Gather data to compile progress and budget tracking reports for stakeholders.
3. Coordinate meetings, prepare agendas, and follow up on assigned action items.
4. Ensure compliance with organisational standards and project management methodologies like PRINCE2.

Selection criteria

Essential

1.



Proven background in project support and coordination, or PMO environments.
2. High proficiency in the Microsoft Office suite and familiarity with project management software.
3. Strong organisational skills, sharp attention to detail, and excellent communication for consulting with various

stakeholders.

1. Certifications or understanding of project management frameworks such as PRINCE2 or Agile are highly regarded.
2. Demonstrated ability to respond to changing situations, setting priorities, meeting deadlines and producing work of a

high standard.

Desirable

1. Experience with NT Public Sector systems including Content Records Manager, Travel Request Information Processing

System, Electronic Credit Management System and Electronic Invoice Management System.

1. Demonstrated knowledge and understanding of relevant financial, procurement and human resource legislation including

Financial Management Act, Public Sector Employment Act, Procurement Regulations and Information Act.
