Our work spans Reconciliation Action Plan support, First Nations artwork and design, cultural learning, signage and interiors, corporate apparel, promotional products and more.

We are looking for a warm, organised and proactive Administration Assistant who is in the business of making people’s day, whether that means warmly welcoming a visitor, helping a client, supporting a busy team member or making sure our office always has that special Ochre Dawn wow factor.
About the role As our Administration Assistant, you will be at the heart of Ochre Dawn, helping our team feel supported, our clients feel cared for and our office run beautifully. This is a varied, hands-on role combining administration, client service, sales support and general assistance across the business. You might be preparing a quote, welcoming a visitor, following up a supplier, organising a meeting, checking a delivery date or simply noticing what needs to be done and making it happen.

- Be a warm and welcoming first point of contact for clients, visitors, artists and suppliers
- Help create an experience that makes people feel genuinely valued when they visit or contact Ochre Dawn
- Keep our office, meeting spaces and shared areas neat, organised, well presented and ready to impress
- Help maintain the special touches that give our workplace its Ochre Dawn wow factor
- Coordinate office supplies, amenities and the practical details that keep everything running smoothly Supporting our team
- Provide practical and administrative support across the business
- Help team members stay organised and follow up actions and priorities
- Schedule and coordinate meetings,
including preparing agendas, taking minutes and following up actions
- Maintain accurate files, databases and business records
- Notice where help is needed and step in with a positive, solutions-focused approach Supporting our clients and sales activities
- Respond warmly and professionally to emails, phone calls and client enquiries
- Assist with preparing accurate quotes, proposals and client presentations
- Maintain client and opportunity information in our CRM
- Follow up client enquiries, quotes, orders and outstanding actions
- Conduct basic research to support sales and business development activities
- Help us provide a thoughtful, responsive and memorable client experience Helping keep projects and orders moving
- Help keep communication flowing between our team, clients and suppliers
- Follow up estimated completion and delivery dates
- Keep clients updated on the progress of their orders and projects
- Assist with coordinating deliveries, collections and other practical arrangements
- Maintain accurate notes, records and updates in our systems
- Follow up outstanding information and actions to help everything reach the finish line smoothly About you You do not need to have done every part of this role before. What matters most is that you are warm, organised, dependable and willing to learn. You are likely to be someone who:

- Is confident using Microsoft Office and comfortable learning CRM and database systems
- Shows initiative and is not afraid to follow things up
- Can work independently while contributing to a close-knit team
- Brings positive energy, care and a sense of humour to the workplace
- Has a genuine commitment to cultural respect, inclusion and ethical engagement Experience in administration, reception, client service, sales support or a similar role would be highly regarded.
Experience in a creative, design, branding, professional services or product-based environment would be helpful, but is not essential.
